Creating STAS Extract  


Overview 

The STAS file will pull the various totals from the Attendance History (AHS) table. Please refer to the following document for detailed information on Attendance History. See Attendance History Configuration.


Updating Attendance History  


The Attendance History Configuration page allows you to configure options for Attendance History (AHS table). This page is only accessible by Admin type users. 


The Aeries Attendance History Configuration should be enabled to update nightly. This will ensure that the data collected in the STAS extract file has the most accurate student absence calculations. A link to the Attendance History Configuration page will be available on the CALPADS EOY tab.



Prior to Creating Student Absence Summary (STAS) File  

Prior to creating the STAS extract file, ensure that the Attendance History Configuration process has been updated and is not currently running.


A red message will indicate if the Attendance History Configuration process is currently running. When landing on this page, and the red message displays indicating the process is running, users should avoid creating a STAS extract until the process completes.



Once the process has completed, a green message will appear with the date that the Attendance History Configuration process last completed. Users can proceed with creating the STAS extract. Also ensure that the date is a recent date. If the process is set to run nightly, this date should be a current date.



Creating STAS Extract  


On CALPADS > Schools tab, select all schools that will be included in the STAS extract file.


On the CALPADS > EOY tab, select the Create Absence Summary File button to create the STAS extract.



This file will be uploaded into the CALPADS website under CALPADS File Uploads > STAS extracts.


In the event an emergency causes school(s) to close physically earlier than the official last day of school, an option has been added to District Settings to specify the Last Day of Regular School Attendance. The STAS extract will then use the specified ending date, instead of the scheduled last day of school when calculating Expected Days of Attendance. This process should be used when the emergency causes the school(s) to NOT RE-OPEN before the planned last day of school.
