The TEA Academic Achievement Record guidelines require LEAs to report the academic achievement record (AAR) of students who have completed the or Foundation High School Program (FHSP). The year in which a student enters 9th grade determines the graduation requirements they must complete to receive a high school diploma. The AAR form serves as the academic record for each student and must be maintained permanently by the LEA.

The Aeries Transcripts page allows you to generate a student AAR which displays a student's previous year grade history, student ranking and calculated GPAs.


The 2012 Minimum Standards for the AAR is the latest standard.


FHSP was established by House Bill 5 and adopted as of the 2014-2015 school year. Not all information in the 2012 Minimum Standards has remained valid. See the following State Board of Education (SBOE) Texas Administration Code (TAC) sections:



Information provided below is for informational purposes only. Refer to official TEA documentation for confirmation and additional information.


IMPORTANT:

  • The AAR cannot contain information disclosing a student's disability.
  • The AAR cannot contain information indicating a student has attended a juvenile justice alternative education program (JJAEP). Instead, the AAR should include the name and CDCN of the student's home campus.  (On Transcript Definition page - Record Details tab, select Home School instead of Current School.)
  • The AAR cannot contain an indication of completion of Individualized Education Program (IEP) for special education.


REMINDER: TREx can only include notes and attachments for transcripts sent to other high schools. Transcripts sent to institutions of higher education may not contain notes and attachments.

Setup

  1. Use of District GPAs must be enabled at the district level, if used.

  2. On District Settings, indicate if you want to use Optimized Graduation Status logic. Select the Do Not Optimize Graduation Status option accordingly. See Graduation Requirements - Graduation Status section. (DPT)

  3. On School Options (district), upload a district logo to print on transcripts, if preferred.

  4. On School Options
    • Indicate if the school will allow issuing grades and partial credits to students. Select the School Option Allow Issue Credit on Classes / Course Attendance Pages option accordingly. See Copying Grades and Credits to Transcripts for Individual Students.

    • Upload the principal's signature file to print on the transcript signature line, if preferred.

  5. On Course History Institutions, add any schools or institutions that will need to be displayed on student transcripts. (CHI)

  6. On Update Code Tables, add any needed codes:
    • Course Names and Codes: CRS.CO or HIS.CO
    • Activities and Awards: Code (ACT.CD) and Reason (ACT.TY), including
      • Performance Acknowledgements
      • Distinguished Level of Achievement
      • Speech requirement
      • CPR requirement
      • Peace Officer Interaction requirement
    • Graduation Status Tracks: REQ.GRT
    • Course Subject Areas or Departments: CRS.S1 or CRS.DC
    • Service IDs (PEIMS code table C022) CRS.SVC
      • Add local courses. All locally developed courses must be assigned an eight-digit service ID number (alphanumeric, with last three digits assigned locally, such as 84000XXX Locally Developed Course - English Language Arts).

    • Service ID Description Suffix: CRS.SDS (appends a one-digit code to the abbreviated C022 name which can be used to indicate fall/spring semesters of the same course)

  7. On Activities and Awards, add entries for Speech, CPR, and Peace Officer Interaction requirements, as well as Distinguished Level of Achievement and Performance Acknowledgement.

  8. On Courses, verify the accuracy of all data in the course table. See Graduation Requirements - Course Table Accuracy section and Courses - General Information. (CRS)
    • Include locally-developed courses (Revised Minimum Standards 1.7 (e)):
      All locally developed courses must be assigned an eight-digit service ID number (alphanumeric, with last three digits assigned locally, such as 84000XXX Locally Developed Course - English Language Arts).
      The course number must begin with 8 (e.g., 8XXXXXXX).

  9. On Master Schedule, ensure the following:
    • CTE Hours field is set correctly for each section of CTE course.

  10. On Off Grade Courses, add any courses that may be taken grades 6-8 that would generate high school credit. (OGC)

  11. Set up Transcript Indicator Definitions.
    • Special Explanation Codes
      • Courses/activities that serve as PE substitutions 
      • High school programs for students receiving special education services
      • Articulated agreement (Code A)
      • Dual-credit courses (Code D)
      • Other special explanation codes

  12. On Graduation Requirements, add any graduation tracks that will be assigned to students. (REQ)

  13. On Graduation Endorsement Setup
    • Add a pathway for each FHSP endorsement. For each pathway, add requirements. For each requirement, add Course Clusters that can accomplish the requirement.
    • Add a pathway for CTE

  14. On Testing Control Tablepage, ensure all standardized tests (EOC, STAAR, etc.) are entered (CTL).

  15. On Transcript Definition:
    • On the General tab, set up transcript(s), including style (3-column or 1-column) and which information should print on a student's transcript. (TDF)


    • On the Terms tab, determine the terms to include when printing transcripts.
    • On the TTP tab, determine the things to print with the transcripts.
      NOTE: Be sure Print/Define TTP is enabled on the General tab under Optional Areas.

Student

  1. On the Graduation Statuspage:
    • Assign the student a graduation track.
    • Select the FHSP Endorsements the student is working toward.(Endorsement tab) 
    • Select the CTE pathway for a student if applicable. (Endorsement tab) 
  2. On the Copy Grades to Transcriptspage, copy grades and credits to to transcripts.
    • After semester grades are complete, copy student grades from the Grades table to the Course History table. The Course History table records will print on a student’s transcript. (GRD > HIS)
  3. On the Transcripts page, add/edit a student's transcript.
  4. On the Mass Add Student Related Data page, mass add activities and awards for students (Speech, CPR, and Peace Officer Interaction) (Select ACT table.)
  5. Create transcripts for transfer students. ()
    1. Add courses not taught at your school. 

  6. On Mass Add Records, mass add course information for a student. 
  7. Ensure the following information is complete:
    1. Test Scores page
    2. Testing Exclusions page
  8. On College Entrance Req’s, maintain a student's college requirements and entrance tests information. 
  9. Use the Graduation Status Report By Student report to view a student's graduation status.
  10. Print transcripts. (Transcripts page or Reports > Grades > Student Transcripts)

  • (1) Grade earned for each semester by semester. If local policy allows averaging the two semesters of a full-year course, the average column must be completed
  • (2) student must earn a minimum average grade (equivalent of 70 on a scale of 100) to pass a course and be awarded credit. Credit can be awarded by semester, or local policy can allow two semesters of a full-year course to be averaged and award credit for entire course. For non-Texas public school transfer students, the receiving district determines how the grades are recorded.
  • (OBSOLETE) (3) STAAR EOC score must count for 15% of student's final course grade. Implementation is based on local policy. Districts have discretion over the 15% calculation for STAAR English I, II, and III assessments (separate reading and writing components). Districts are not required to count STAAR Modified or STAAR Alternate EOC assessment scores as 15% of a student's final course grade.
  • (4) Students with excessive absences will be given grade earned but may/may not be awarded credit. Explanation must be included on AAR in the notes section or as an attachment (which are not sent through TREx). 
  • (5) A grade or a special indicator may be used for courses/activities that serve as PE substitutions (JROTC course, athletics, cheerleading, etc.) Codes exist for PE substitutions in PEIMS Code Table C022. (See section 1.16 below.) 
  • (6) Other Characters Used in Grade Columns
    • (A) An asterisk (*) or other symbol next to grade indicates that an explanation for the grade appears elsewhere on the AAR or on an attachment. If more than one grade or code requires an explanation, a different symbol must be used for each.
    • (B) "P," "F," or other symbols indicate achievement in Pass/Fail courses.
(d) Transferred CreditTranscripts page, Course History section entered manually when student enters school. If Schl does not match, it is considered a transfer. 
Schl must exist on Course History Institutions page (CHI table).
HIS.ST, HIS.CC

  • (1) Texas public school district or charter school after a semester or full year is completed: receiving district must honor credits already awarded by sending district.
  • (2) Non-Texas public school: student records must be evaluated and credit awarded. Special Explanation Code 3 may be used to identify transferred credits. (See section 1.16 below.)

The IEP defines the appropriate high school program for each student receiving special education services. Options:

  • (1) Participation in general education course with no modification of content: Code V should NOT be used. Accommodations may be used as recommended by the ARD.
  • (2) Participation in a general education course with ARD-directed modification of content: 
    • (A) Non-EOC Course - Special Education Code V may be recorded in permanent record but MUST NOT be printed on AAR. Only a course with a standard course number and title assigned in PEIMS Code Table C022 and locally modified in content as a result of an ARD decision is coded in the permanent record with Code V. Courses with modified content cannot be counted toward RHSP or DAP (exceptions for PE).
    • (B) EOC-Courses - There is no need to use Code V.

Appendix A - State Board of Education-Approved Graduation Program Seals

SBOE-Approved Graduation Program Seals to be used by public schools and approved charter schools to denote completion of appropriate high school

graduation programs under 19 TAC §74.14 on each student's AAR.


STU.HSG = 34, 35, 54, 55, 56, or 57

Only the Foundation High School Program seal is currently valid in Texas. It is printed on all AARs where STU.HSG indicates graduation (i.e., 34, 35, 54, 55, 56, or 57 (PEIMS Code table C062)).
