Overview

The TEA Academic Achievement Record guidelines require LEAs to report the academic achievement record (AAR) of students who have completed the Foundation High School Program (FHSP). The year in which a student enters 9th grade determines the graduation requirements they must complete to receive a high school diploma. The AAR form serves as the academic record for each student and must be maintained permanently by the LEA.


The Aeries Transcripts page allows you to generate a student AAR which displays a student's previous year grade history, student ranking, and calculated GPAs.


The 2012 Minimum Standards for the AAR is the latest standard.


FHSP was established by House Bill 5 and adopted as of the 2014-2015 school year. Not all information in the 2012 Minimum Standards has remained valid. See the following State Board of Education (SBOE) Texas Administration Code (TAC) sections:



Information provided below is for informational purposes only. Refer to official TEA documentation for confirmation and additional information.


IMPORTANT:

  • The AAR cannot contain information disclosing a student's disability.
  • The AAR cannot contain information indicating a student has attended a juvenile justice alternative education program (JJAEP). Instead, the AAR should include the name and CDCN of the student's home campus. (On Transcript Definition page - Record Details tab, select Home School instead of Current School.)
  • The AAR cannot contain an indication of completion of Individualized Education Program (IEP) for special education.

Configurations

In order for AARs to print accurately, the following steps must be completed at the district and school level.


District Configurations:

  • Use of District GPAs must be enabled at the district level, if used. See GPA Configurations Page.

  • On District Settings, indicate if you want to use Optimized Graduation Status logic. Select the Do Not Optimize Graduation Status option accordingly. See Graduation Requirements - Graduation Status section.

  • On School Options (district), click the Logo button to upload a district logo to print on transcripts, if preferred.
  • On Course History Institutions, add any schools or institutions that will need to be displayed on student transcripts.

  • On Courses, verify the accuracy of all data in the course table. See Graduation Requirements - Course Table Accuracy section and Courses - General Information.
    • Include locally-developed courses (Revised Minimum Standards 1.7 (e)):
      All locally developed courses must be assigned an eight-digit service ID number (alphanumeric, with last three digits assigned locally, such as 84000XXX Locally Developed Course - English Language Arts).
      The course number must begin with 8 (e.g., 8XXXXXXX).

    • Add any courses for transfer students that are not taught in the district. See Creating Transcripts for Transfer Students. Before adding the course, add the school where the course was taken to Course History Institutions.

  • On GPA Configurations(district) if using custom district-defined GPAs:
    • Inactivate any built-in GPAs that are not needed.
    • Create custom district GPAs.
    • Assign district-defined GPAs to specific schools or cohorts (Schools and Cohorts heading).
    • Modify weight factors for the district-defined GPAs if needed (GPA Weight heading).
    • Rank Type should either be Weighted GPA or Non Weighted to align with the GPA being used. If no ranking is desired then set the Rank Groups, Calculate Top % and Display Top % to Parents and Students all to 0.

Otherwise Aeries built-in GPAs are used.

  • Set up indicators/special explanation codes. See Texas - Transcript Indicator Definitions.
    • Courses/activities that serve as PE substitutions
    • High school programs for students receiving special education services
    • Articulated agreement (Code A)
    • Dual-credit courses (Code D) 
    • Other special explanation codes

  • On Texas State Reporting under Code Translations
    • If any schools are using Endorsement Codes that are different from the default values (MS, AH, ST, BI, and PS), they must be mapped to the default values.
    • Define any custom graduation codes (High School Graduation Code - STU.HSG) used in the district. The custom codes affect the seal printed on the transcript.

Campus Configurations:

  • On School Options:
    • Upload the principal's signature file to print on the transcript signature line, if used.

    • Indicate if the school will allow issuing grades and partial credits to students. Select the School Option Allow Issue Credit on Classes / Course Attendance Pages option accordingly. See Copying Grades and Credits to Transcripts for Individual Students.
  • On Course History Institutions, add any schools or institutions that will need to be displayed on student transcripts.

  • On Master Schedule, ensure the following:
    • CTE Hours field is set correctly for each section of CTE courses.

  • On Off Grade Courses, add any courses that may be taken in grades 6-8 that would generate high school credit. See Off Grade Courses.

  • On Graduation Requirements, add any graduation tracks that will be assigned to students. See See Graduation Requirements.

  • On Graduation Endorsement Setup,
    • Add a pathway for each FHSP endorsement. For each pathway, add requirements. For each requirement, add Course Clusters that can accomplish the requirement.
    • Add a pathway for CTE.
    • See Graduation Endorsement Setup.
  • On Update Code Tables, add any needed codes:
    • Course Names and Codes (CRS.CO or HIS.CO)

    • Activities and Awards: Code (ACT.CD) and Reason (ACT.TY), including:
      • Performance Acknowledgements
      • Distinguished Level of Achievement
      • Speech requirement
      • CPR requirement
      • Peace Officer Interaction requirement
      • Financial Aid Application requirement

    • Graduation Status Tracks (REQ.GRT)
      NOTE: Once defined on Graduation Requirements page, these populate the Graduation Track field on Graduation Status.

    • Course Subject Areas or Departments (CRS.S1 or CRS.DC)

    • Service IDs (PEIMS code table C022) (CRS.SVC)
      • Add local courses. All locally developed courses must be assigned an eight-digit service ID number (alphanumeric, with last three digits assigned locally, such as 84000XXX Locally Developed Course - English Language Arts).

    • Service ID Description Suffix (CRS.SDS)
      This optional one-digit suffix can be appended to the abbreviated C022 name to indicate fall/spring semesters of the same course)

    • Course Characteristics (CCH.CD)
      If using district GPAs by cohort, create a characteristic such as "Cohort YYYY." When creating a District GPA, the Course Characteristic will be specified.

    • Endorsements (GES.ED)
      The following are the default values (hard coded). Codes only need to be added if they are different from these codes. If different, they need to be mapped using Code Translations(district).
      • Multidisciplinary = MS
      • Arts and Humanities = AH
      • STEM = ST
      • Business and Industry = BI
      • Public Services = PS

    • Tests (TST.ID)
      Add EOC and EOC Alt tests.

  • On Activities and Awards, add the following:
    • Speech
    • CPR
    • Peace Officer Interaction
    • Financial Aid Application requirements
    • Distinguished Level of Achievement
    • Performance Acknowledgement

  • On Transcript Definition for each school and each transcript used, modify the default transcript, and/or add additional transcripts. See Transcript Definition Form.

    See the AAR Minimum Standards section below for additional information.
    • On the General tab:
      • Select the design style for the transcript.
      • Select the student demographic information to print on the transcript. 
      • Select the course, credit, and GPA information to print on the transcript.
      • On the Design Options tab, select the Graduation Date Format (short = MM/YYYY or long = MM/DD/YYYY) to print on the transcript.
      • On the Record Details tab, be sure Low Grade and High Grade are set correctly.
        NOTE: GPA Options are displayed differently if the district is using custom GPAs.

        If using Aeries built-in GPAs:

        If using custom district GPA:
      • Specify the images and other custom content to include on the transcript.

    • On the Terms tab:
      • Determine the terms to include when printing transcripts.
      • Crosswalk local term codes to state terms.

    • On the TTP tab, determine the things to print with the transcripts.
      IMPORTANT: Be sure Print/Define TTP is enabled on the General tab under Optional Areas.

NOTE: For Activities and Awards (ACT) entries:

  • Set Score to N-Do Not Show Hours in order to prevent the hours from printing on the transcript when not applicable. 
  • Set Print Option to 1, 2 or 3.
  • For Financial Aid Application (ACT.CD = G04) include Subtest/Part for both reasons FA1 - Financial application form completed and FA2 - Exception submitted.
  • Adding an ACT record for "PA6 - Performance Acknowledgment Certifications / Licensures" will cause them to be printed in their own section under 'Events'.


Student Settings

  • On Demographics:
    • If using district GPAs by cohort, be sure the student's 9th Grade Entry Year (STU.INE) and Cohort (STU.CHT) fields are set correctly.
  • On Demographics > Student Demo 2:
    • Set Grad Type - Code field (STU.HSG) to 34 - Foundation High School Program in order for endorsements to extract properly for PEIMS and TREx reporting.

    • Enter a Certificate of Completion - Date (STU.CDT) for any student who has been awarded a Certificate of Coursework Completion by the district. Districts may award this to a student who successfully completes all coursework requirements but who fails to perform satisfactorily on the statewide exit-level assessment (TEC 28.025(d)) (TREx element TE015).

  • On Graduation Status:
    • Assign a Graduation Track.
    • Under Endorsement, click Manage and select the FHSP Endorsements the student is working toward. Be sure to select Opt-out if the student may have classes toward an FHSP Endorsement but is not intentionally pursuing it.
    • Under Endorsement, click Manage and select the CTE pathway for a student if applicable.

  • On Mass Add Student Related Data, mass add activities and awards for students (Speech, CPR, and Peace Officer Interaction) (Select ACT table.) Or, add these for individual students from Activities and Awards.

  • On Mass Add Records, mass add course information for a student. Or, add individual records to a student's transcript from Transcripts.

  • Ensure the following information is complete:
    • Test Scores
    • Testing Exclusions

  • On Import Test Results, import a student's test scores. On College Entrance Req’s, maintain a student's college requirements and entrance tests information.

Create Transcripts

See Overview of Transcript and Course History for complete details.

  1. Use Graduation Status Report By Student to view a student's graduation status.

  2. On Copy Grades to Transcripts, copy grades and credits to the transcripts.
    • After semester grades are complete, copy student grades from the Grades (GRD) table to the Course History  (HIS) table. The Course History table records will print on a student’s transcript. 
  3. On Transcripts, update and print a student's transcript.
    • Before printing:
      • Click Recompute GPA if any data has changed that would affect the calculation. Credits, class rank, and class size are also recomputed.
        IMPORTANT: If you have added a District GPA, click Recompute GPA in order for the district GPA information to be displayed and printed.
      • From the drop-down field next to the Print button, select the particular transcript to print.
    • NOTE: Changing the Grad Type field on Transcripts will update the Grad Type - Code field on Demographics - Student Data 2, and vice versa.

  4. Use the Student Transcripts Report to print transcripts for multiple students at once.

  5. Create transcripts for transfer students. 
    • On Course History Institutions, add the school where the course was taken (CHI).
    • On Courses, add courses numbers for any transfer courses that do not closely match any course taught at your school. For transfer courses, Course ID (CRS.CN) = 5XXXXX.  (CRS)
    • On Transcripts, add the course for the student. (HIS)
    •  See Creating Transcripts for Transfer Students.
