CALPADS Student Absence Summary (STAS) Extract

The Student Absence Summary (STAS) file for End of Year Reporting (EOY) will enable the calculation of student-level chronic absenteeism rates. The STAS file will extract Attendance Summary information from the Attendance History (AHS) table. Detailed attendance data will not be sent to CALPADS, only totals for the various aggregates.


CALPADS will expect STAS data for all students in grades TK–12 for the current year who has either a primary (10) or short-term (30) enrollment.  


LEAs may indicate a student is exempt from having student absence summary data submitted when attendance is not collected for that student. The following list are scenarios in which a student may be exempt from the student absence summary data collection:

  • The student receives instruction through a home or hospital instructional setting as authorized by Education Code section 48206.3-48208.
  • The student has a primary enrollment in your school/district but is attending community college full-time.
  • The student is enrolled in your school/district for a single day for purposes of reporting a summer graduate.

NOTE: As of September 2024, STAS data should not be submitted if School of Attendance = 0000001 (non-public school-NPS) or 0000002 (Private School Group). Submitting these records will cause fatal error STAS0651 in CALPADS.


EOY 3 CALPADS STAS File - General Information



AR Days  

AR Days are now populated in the STAS Extract file and reported to CALPADS in the End of Year Submission as of the 2025/26 school year. This data comes from the ADA Make-Up codes that are defined as AR in District Settings


Locate Pages > District Settings > ADA Make-Up Codes for Attendance Recovery - Identify any codes that represent Attendance Recovery that will be used in ADA-Make Up. Codes displayed in this section are from the code table for Table ATT, Field ADA. To add a new code, see Update Code Table.


Each student's attendance record with an ATT.ADA code that matches this code will be counted as 1 AR Day in the STAS extract. These records are counted and reported by school.


LEAs can use the Attendance Recovery Bank page to get a visual of the number of AR Days being reported for a student. The column Total Absences Recovered will display a count of all ATT records where the ADA field matches the ADA code defined as Attendance Recovery.  Mass Calculate AR Data for All Students must be generated in order to view up-to-date information. The following is an example of the STAS Extract file where AR Days is reported in the last column. For students who are exempted, the AR Days will be blank.

In the event an emergency causes school to close physically earlier than the official last day of school, an option has been added to District Settings to specify the Last Day of Regular School Attendance. The STAS extract will use the specified ending date, instead of the scheduled last day of school when calculating Expected Days of Attendance.  This process should be used when the emergency causes the school(s) to NOT RE-OPEN before the planned last day of school.
