Issue Description/Behavior
During End of Year 1 (EOY 1) Certification, validation errors may appear indicating that program records are missing exit dates. Common error codes include:
- SPRG0746E1
- SPRG0747E1
These errors occur when program records remain open without valid end dates, preventing successful certification submission.
Environment
- CALPADS End of Year 1 (EOY 1) Certification
- Program records (e.g., Homeless program records)
Cause
- SPRG0746E1: Program records with start dates in the current academic year do not have an end date, or the end date falls outside the same academic year.
- SPRG0747E1: Program records from prior academic years were not properly closed and remain open when a new record has been created for the same student in the current academic year.
Resolution
- Review the affected student program records identified in the certification errors.
- For SPRG0746E1:
- Locate program records that began in the current academic year.
- Enter an appropriate end date within the same academic year.
- Ensure the end date is no later than the last day of the academic year (e.g., June 30).
- For SPRG0747E1:
- Locate program records from prior academic years that are still open.
- Add an end date on or before the last day of the prior academic year (e.g., June 30 of that year).
- Confirm that older records are closed before new records begin for the same student.
- Re-extract and resubmit the data to CALPADS.
- Verify that the certification errors have been resolved.
