**Please note that this documentation is intended for single schools, or small districts with five or fewer total schools. Larger districts should contact their implementation manager for data transfer instructions.

If your school or district uses PowerSchool to store student records and course enrollments, we recommend that you follow these instructions to set up automatic & secure transfer of student, course, and roster data to JumpRope rather than maintaining records separately in the two systems. When complete your data will automatically transfer once each night and on demand whenever required.

  1. Make sure that you have indicated to your JumpRope Implementation Manager that you would like to transfer data from PowerSchool. They will provide you with a login and a password to our SFTP server to which the data will be transferred. The steps below will take you through setting up managed connection, and then setting up autosends that use the managed connection to send data to JumpRope on a scheduled basis. Note that if you need to transfer data for multiple schools, you will need to go through this process once per school. As of the time of writing, PowerSchool does not offer an option to send data for multiple schools in a single autosend.

  2. Log into the PowerSchool Admin interface as you normally would. Often, you can do this by visiting http://{your_school}.powerschool.com/admin or the web address that you typically log in with. JumpRope cannot help you with your username or password to PowerSchool - you'll have to contact Pearson if you run into trouble logging in.

  3. First, we need to tell PowerSchool how to connect securely to JumpRope via a Managed Connection.

    1. Click System in Admin Start page, under Setup in the menu: http://screencast.com/t/tXLwYG3aK0q

    2. Next, click on System Settings: http://screencast.com/t/tXLwYG3aK0q

    3. Select Plugin Management Configuration: http://screencast.com/t/OMXtpSdl

    4. Enable and then select the Remote Connection Manager: http://screencast.com/t/k2lSiIhtt

    5. In Remote Connection Manager Setup, Click on Remote Connection Manager once again: http://screencast.com/t/L5EM0ebKR5bJ.

    6. Click on Create Connection: http://screencast.com/t/HVWv698D2DbC

    7. Carefully fill out the fields as listed below. If you are setting this up for multiple schools and have been provided separate FTP credentials for each school, please be sure to adjust the "Name" field to also include the name of the school. You'll need one managed connection per school.

      1. Name: JumpRope SFTP

      2. Protocol: SFTP

      3. Host: sftp.jumpro.pe

      4. Port: 22

      5. Username: as provided by JumpRope

      6. Password: as provided by JumpRope

      7. Click on Test Connection, and "Yes, Accept Host Key" if prompted with a failure warning (see screenshot: http://screencast.com/t/WWkS4Cq9U)

      8. Remote Path: jumprope_imports

      9. Allow download: check the box

      10. Allow upload: check the box

      11. Click on submit. You should see a screen that looks similar to this: http://screencast.com/t/YNUaU93z1R.

  4. Now that we have a secure connection set up, we need to set up Autosends to tell PowerSchool which files to send and when to send them.

    1. From the PowerSchool Admin Start page, click System in the menu at left: http://screencast.com/t/tXLwYG3aK0q

    2. Select AutoSend Setup: http://screencast.com/t/MDKaSlqE

    3. Click on New: http://screencast.com/t/DcOYF73q7I

    4. We now need to create five separate AutoSend configurations (one for each of Courses, Sections, Student Schedules, Students, and Teachers). Each configuration is similar, but we'll walk through each separately.

    5. Important Note that all autosends that you will set up below will indicate 3:00 AM for "When to Execute". The time that you choose to execute these is up to you, but be aware of anything else that may be running on your server overnight and keep that in mind when setting up the times. We recommend that you stagger the times of the 5 autosends below so that they run 15-30 minutes apart, beginning no earlier than 10 PM and completing no later than 4 AM EST. If too many items are scheduled at once, your autosends may fail.

    6. Create an AutoSend configuration for Courses:

      1. Fill out all fields exactly as shown in this screenshot, using the list below to populate the "Fields to Export" section.
        1. Id
        2. Course_Name
        3. Course_Number
        4. Credit_Hours
        5. Schoolid
      2. Submit, click on Run Now and ensure that no error message appears (it will not give a confirmation message - we'll check that it is successful on our end): http://screencast.com/t/MzmrSXpUVeel
    7. Create an AutoSend configuration for Sections:

      1. Fill out all fields exactly as shown inthis screenshot, using the list below to populate the "Fields to Export" section.
        1. Id
        2. Course_Number
        3. Expression
        4. No_Of_Students
        5. Room
        6. Schedulesectionid
        7. SchoolID
        8. Section_Number
        9. Teacher
        10. TermID
      2. Submit, and click on Run Now and ensure that no error message appears (it will not give a confirmation message - we'll check that it is successful on our end). If you run into an error, edit the configuration and verify that all fields are filled out exactly as shown.
    8. Create an AutoSend configuration for Student Schedules :

      1. Fill out all fields exactly as shown in this scrreenshot, using the list below to populate the "Fields to Export" section.

        1. Id
        2. Course_Number
        3. DateEnrolled
        4. DateLeft
        5. Expression
        6. Schoolid
        7. Sectionid
        8. Section_Number
        9. Studentid

        22. [Sections]Teacher
      2. Submit, and click on Run Now and ensure that no error message appears (it will not give a confirmation message - we'll check that it is successful on our end). If you run into an error, edit the configuration and verify that all fields are filled out exactly as shown.

    9. Create an AutoSend configuration for Students:

      1. Fill out all fields exactly as shown inthis screenshot, using the list below to populate the "Fields to Export" section.Note that the email fields are optional, and the fields you use to store this data in PowerSchool may not match what is listed here. Include the fields that actually contain email data rather than copy/pasting what you see below.
        1. Id
        2. Classof
        3. First_Name
        4. Last_Name

        11. parent_email2
      2. Submit, and click on Run Now and ensure that no error message appears (it will not give a confirmation message - we'll check that it is successful on our end). If you run into an error, edit the configuration and verify that all fields are filled out exactly as shown.
    10. Finally, create an AutoSend configuration for Teachers :

    11. Fill out all fields exactly as shown inthis screenshot, using the list below to populate the "Fields to Export" section.

      1. Id
      2. Email_Addr
      3. First_Name
      4. Last_Name
      5. SchoolID
      6. TeacherNumber
      7. Title
    12. Submit, and click on Run Now and ensure that no error message appears (it will not give a confirmation message - we'll check that it is successful on our end). If you run into an error, edit the configuration and verify that all fields are filled out exactly as shown.

    13. Almost done! Verify that your AutoSend screen now looks similar to this (it's okay if there are additional AutoSend configurations that are unrelated to JumpRope, but we need all five of these): http://screencast.com/t/iYQeMZ0twl1. Verify that you have clicked Run Now at least once for each configuration and that it has completed without warning. If everything looks good, please contact support@jumpro.pe and we will double-check the configuration on our end and let you know if you need to take any additional steps.
