The Wellbeing Status feature provides an overall assessment of a student that can be viewed at a glance, including color coding and emojis. The assessment scores, codes, color coding, and emojis are customizable.

The Wellbeing Status fields can be viewed and updated on the Demographics page on the Student Data 2 tab. See Demographics. With appropriate API Security settings, the Wellbeing Status fields can also be populated from a third-party vendor using an API (see below).

The Wellbeing Status fields are displayed in the Student Banner on the Addt'l Info tab which is available on all student data pages. See Student Banner.


The wellbeing information can be displayed to teachers, parents, and students depending on and Portal Group security settings.




Prerequisites


  Update default codes, if using


School Info > Configurations > Default Code Management

or School Info > Configurations > Update Code Table (click Go to Default Code Management button)


Aeries includes a set of default codes for Wellbeing Status. The default codes can be used instead of customized codes if desired. Or, default codes can be added and then further customized. See below.

  1. In the Modules field, select Student Wellbeing.
  2. In the Fields field, select Wellbeing Attention Value.
    • On the left, the Aeries default Wellbeing Status codes are listed under Default Codes.
    • On the right, any existing custom Wellbeing Status codes are listed under Current Codes.
  3. Under Default Codes select the individual codes, or use the check box at the top of the list to select all default codes.
  4. Click the Right Arrows icon to update Current Codes with the selected Default Codes. See Default Code Management.

  Customize Wellbeing Status codes, if using


School Info > Configurations > Update Code Table


The Wellbeing Status codes and corresponding color coding and emojis can be customized on Update Code Table

  1. In the Table and Field fields select STU and WA.
  2. Click Add New Record.

    A blank row is added allowing you to add a code.


  3. Or, click the Edit icon to update an existing code. Add or update the following:

    CodeAn alphanumeric status code, up to 6 characters
    DescriptionA description of the status code
    CategoryN/A for Wellbeing Status
    AmountN/A for Wellbeing Status
    SortThe order in which codes are displayed in the corresponding drop-down list

    If blank, codes are listed in the order entered.
    Tag(Optional) Whether the code is currently in use

    Blank indicates in use.
    Color CodeClick Select to open the Choose Colors window.
    • Click the color to associated with the code.
    • Click Apply.

      The Choose Colors window closes, and the selected color is associated with the code.
    Translation 1-6
    Description
    Add translations of the Descriptionfor up to 6 languages.
    • In the Translation # field, select the language.
    • In the corresponding Description field, type the translated Description.


  4. Click the Save icon.

  5. To add or update an emoji, click the Image icon for a particular code.


    The Code Table Image window opens allowing you to add or update the emoji.
  6. Click Change Image.

    A window opens allowing you to locate the image on your local PC.

  7. Locate and open the image.

  8. Click Save.

    The image is now associated with the status code and displayed in the Student Banner for students whose Wellbeing Status is set to the code.

  9. To remove an emoji, click the Image icon, then click Remove Image. Click Save.

    The image is no longer associated with the code.

  Allow teachers to view Wellbeing Status in Teacher Portal


School Info > Portal Management > Portal Options  (Attendance tab)


If enabled, teachers can view student Wellbeing Status on the Class Attendance page in the Teacher Portal. 



  1. Under Other Attendance Options, select Display Student Wellness Information on the Teacher Attendance Page.
  2. Click Save.

Steps


  Add or update student Wellbeing Status


Student Data > Demographics (Student Data 2 tab)



  1. Click Change to enable the fields.

  2. Under Wellbeing, add or update the following:

    Wellbeing DateThe date on which the Wellbeing Status was last updated (STU.WD)
    Wellbeing ScoreThe score assigned to the student on the Wellbeing Date (STU.WS)

    The score is defined by the school or district.
    Wellbeing AttentionThe Wellbeing Status code, as set on Update Code Table (STU.WA)


  3. Click Save.

  View student Wellbeing Status


Student Banner (Addt'l Info tab)


  1. Click the Addt'l Info tab.

  2. The Wellbeing Status field indicates the following as entered on Demographics > Student Data 2 tab:
    • The field is shaded according to the color selected on Update Code Table for the code assigned to the student in the Wellbeing Attention field (STU.WA).
    • The emoji is displayed if specified on Update Code Table for the code assigned to the student in the Wellbeing Attention field (STU.WA).
    • The score is displayed as entered in the Wellbeing Score field (STU.WS).
    • The date is displayed as entered in the Wellbeing Date field (STU.WD).

  View student Wellbeing Status in the Teacher Portal


Teacher Portal > Attendance


If enabled, teachers can view student Wellbeing Status on the Class Attendance page in Teacher Portal.

Group & Portal Group Permission

Group and Portal Group Read access can be further managed by using field level permissions. For example, a Group can have Read permission to the Student Data (STU) table but be denied Read permission to one or more Wellbeing fields. When denied Read permission to a particular field, N/A is displayed in the field rather than the data.

  1. Open the Permissions window for a particular group or portal group.

     
  2. Under Student Data, click the Fields icon for the Student Data (STU) table.

    A window opens allowing you to allow or deny Read permission to the individual fields.


  3. Scroll to the Wellbeing fields and adjust the Read setting for each field as needed.

    Changes are automatically saved; there is no Save button.

API Security

Security > API Security


With appropriate API Security settings, the Student Wellbeing fields can be populated from a third-party vendor using an API.

See API Full Documentation.


  1. Under Product Name, select the appropriate third party vendor.


  2. Under Permissions > Student Data, select Read, Update, and Insert for the Student Data table.



  3. Click View Field Permissions to open the Field Permissions section.


  4. Scroll to the Wellbeing fields and select Update for the fields you wish to update via an API.

    Changes are automatically saved; there is no Save button.
