CALPADS uses the terms “Graduate and Completer” to show graduates, completers, and the student/school completion status used to determine the respective graduate type. 


Step 1: Do Not Inactivate Students 


Step 2: Navigate to Student Demographics > Student Data 2 

  • Populate Completion Status Code (STU.HSG) with Exit Code 480 – Promoted (matriculated to CA public schls) or Exit Code 485 – Promoted (matriculated Out of CA public schls).
  • Populate Completion Status Date (Optional)
  • An End of Year Status (STU.EOY) is not required as it will auto-populate in the SENR file 
  • Mass-adding Completion Status Codes is an option via Query 
    • LIST STU STU.HSG IF STU.HSG = " " AND GR = #  (in place of the # enter the grade level) 
      • The total record results in this query should match the total records to be changed in the next query
    • CHANGE STU STU.HSG TO 480 IF STU.HSG = " " AND GR = #  (in place of the # enter the grade level) 
      • The total proposed changes should match the total record results in the former query


Step 3: Navigate to Student Demographics >Student Data 1

  • If the student is leaving the highest grade level offered in the district, do not change the Next School field (STU.NS) 

  • If the students are matriculating from one school to another school within the district (elementary to middle school), enter the next school number in the Next School field (STU.NS)


Step 3: After updating Completion Status Codes (STU.HSG) 

  • Under Functions > Administrative Functions > Run Launch Fix ENR Process   
NOTE: The Next School field (STU.NS) on the Student Data 1 tab on the Student Demographics page should be populated to determine which school the student will be added to in the New Year database. The STU.NS can be populated with either the current school code if they are returning to the same school in the New Year database or the Next School code that they will be attending if they are moving to a different school within the district, or with the Inactive School code if they are leaving the district.
