Adding Classified Staff  


Overview 

The Staff Management - Quick Start Guide offers simplified documentation to staff management in Aeries. Review the Staff Data article for more detailed information.


TableDescription
Staff Data (STF)Required for all certificated and classified staff that access Aeries.  If using Aeries Communications, required for ALL staff.
Security User Accounts (UGN)Required for any staff accessing Aeries.
Scheduling Info (SSI)Populated for teachers assigned to a school using a Master Schedule.
Master Schedule Classes (MST)When using a Master Schedule, displays a teacher's assigned sections/classes for the current year.
Associated Teacher Records (TCH)If not using a Master Schedule, creates a Teacher Record for state reporting.
Job Assignments (STJ)Displays certificated staff assignment records for state reporting.
Credentials (STC)Used to identify math and science credential information for the Civil Rights (CRDC) extract.  No longer used for state reporting.  Can be used to document staff credentials.
Assignments (STA)Can be used for classified staff assignment records.  If populated, produces submission data for the CBEDS-ORA extract.
Highly Qualified Teacher Status (STH)No longer used for state reporting.


Adding Certificated Staff  

Navigate to School > School Info > Staff.  Click Add New Staff Member.


Populate mandated state reportable fields and additional district-maintained staff data. Click Save. Data populated in the green highlighted fields will be included in state reporting extracts.



NOTE: The Legal Last Name, Legal First Name, Legal Middle Name, Legal Suffix and Legal Gender are newly added fields and are currently not supported in state reporting extracts.


After adding the Staff Data (STF) record, click Add New User Account located in the Security User Accounts (UGN) table. Populate fields to align with established district configurations. User (non-teacher) User Type accounts need assigned Security Groups. Using "welcome" or "changeme" as passwords prompts the user to update their password when first accessing Aeries. Click the Disc Icon to Save.



If populating a teacher record and using a Master Schedule, click Add New Scheduling Info located in the Scheduling Info (SSI) table. Populate the specifics regarding the class: Room #, Low/High Grade, and any district defined maximums per period and/or day. Click the Disc Icon to Save.



If using a Master Schedule, do not populate this table for teachers. If not using a Master Schedule, click Add New Teacher Record located in the Associated Teacher Records (TCH) table. Populate a Teacher # and Name. Click the Disc Icon to Save. Navigate to the Teacher (TCH) table to populate additional state reportable fields.

  


When adding certificated staff, a job assignment must be populated in the Job Assignments (STJ) for state reporting. Click Add New Job Assignment to populate state reportable fields.  If multiple assignments and/or school sites are applicable, a separate record must be added for each assignment. Click the Disc Icon to Save.



Click Add New Credential located in the Credentials (STC) table to populate credentialing information for math and science teachers.  Click the Disc Icon to Save. Districts may need to add/update field dropdowns for the Credentials (STC) table. The Civil Rights (CRDC) extract utilizes the Credentials (STC) table for reporting purposes. In addition, if desired, districts can utilize the Credentials (STC) table to document staff credentials.



The Assignments (STA) table is not applicable to certificated staff.


The Highly Qualified Teacher Status (HQT) is no longer used for state reporting and does not need to be populated.  It was originally created to monitor No Child Left Behind (NCLB) compliance.  Disticts can use this table, as desired. Districts may need to add/update field dropdowns for the Highly Qualified Teacher Status (HQT) table. Click Add New Highly Qualified Teacher Status to add a record.  



Adding Classified Staff  

Navigate to School > School Info > Staff.  Click Add New Staff Member.


Classified staff requires minimal data (Name, ID, Gender, Ethnicity, and Race) as the mandated state reportable fields, are not applicable to classified staff. Populate additional district-maintained staff data. Click Save.



After adding the Staff Data (STF) record, click Add New User Account located in the Security User Accounts (UGN) table. Populate fields to align with established district configurations. Classified staff are assigned User (non-teacher) User Type accounts and need assigned Security Groups. Using "welcome" or "changeme" as passwords prompts the user to update their password when first accessing Aeries. Click the Disc Icon to Save



The Scheduling Info (SSI) table is not applicable to classified staff.


The Associated Teacher Records (TCH) table is not applicable to classified staff.


The Job Assignments (STJ) table is not applicable to classified staff.


The Credentials (STC)  table is not applicable to classified staff.


The Assignments (STA) table monitors classified job assignments. The CBEDS-ORA extract uses the Assignments (STA) table for reporting classified data.  If utilizing the CBEDS-ORA extract, click Add New Assignment to add a classified assignment record. Click the Disc Icon to Save.


The Highly Qualified Teacher Status (HQT) is not applicable to classified staff.
