Student Participation

Overview

A student's Career and Technical Education (CTE) participation information is displayed in Aeries on the Special Programs page. The data is not typically entered manually on this page; rather the CTE indicator is calculated and provided by the TEA in a CSV file which can be imported into Aeries to populate the Program Type field.
See  Texas - Import CTE Indicator for TREx.

For PEIMS reporting, CTE indicator is not extracted from the Aeries fields; however fields must be set correctly for students designated as:

  • Eligible for CTE Transportation
  • Single Parent/Single Pregnant Woman
  • Out-of-Workforce Individual

For TREx extracts, the student's CTE indicator is extracted from the PGM.CD and PGM.TY fields. Therefore, the TEA-provided data must be imported into Aeries before the TREx export is created. See  Texas - Import CTE Indicator for TREx.

For attendance accounting, the student's CTE hours are calculated according to course data entered on the Courses and Master Schedule pages and a student's Course Attendance (CAR).

Configuration

  • On Update Code Table, be sure the following exists:
    • CRS.DC = CTE

Course Setup

For any CTE course offered at the school, ensure the following are set:

  • Navigate to Scheduling Process > Courses (General tab)
    • Dept - Select CTE. The code must already exist on Update Code Table (CRS.DC = CTE).

  • Navigate to Scheduling Process > Courses (Other tab)

    • Service ID - Select the correct service ID for the course, according to the TEA CTE Master Course List. See TEA CTE Master Course Lists with TSDS PEIMS Codes.
    • Population Served - Select 05-Career and Technical Education Students.
    • Class Type  - Select Regular

  • Navigate to Scheduling Process > Master Schedule

    • CTE V-Code - Type the number of contact hours generated for the course for an attendance reporting period, which is based on average minutes per day a student will attend in a 10-school day period.
See the TEA Student Attendance Accounting Handbook section 5.5.
      • V1: 45-89 minutes
      • V2: 90-134 minutes
      • V3: 135-180+ minutes

Three contact hours is the maximum a district may claim for a single course.
        Example: A student enrolled in three separate 45-minute CTE courses would be assigned a code of V3 (V1 + V1 + V1 = V3).

    • Non-Campus Inst - Indicate if the course is not taught by a school district/charter school employee or a contracted teacher, or is taught by a school district/charter school employee or a contracted teacher at a facility other than the campus where the student is enrolled. (PEIMS Element E1072, code table C182)

    • Population Served, as well as other fields on the page, are automatically populated from the Courses page.

Student Participation

  • Import data provided by the TEA in a CSV file. See Texas - Import CTE Indicator for TREx.

The import populates the Program Type field on Special Programs.

  • Ensure no discrepancies exist between CTE course enrollment and Course Attendance.
    • Navigate to Student Data > Scheduling > Course Attendance
      • Start Date and End Date - Ensure course enrollment dates are correct.

  • For CTE students eligible for CTE transportation services:
    • Navigate to Student Data > Programs > Free and Reduced
      • CTE Transportation - Indicate whether the economically disadvantaged student enrolled in a CTE course receives special transportation services to enable the student to commence or continue career and technical training. (PEIMS element E0917, code table C088 yes/no)

  • For CTE students designated as Single Parent/Single Pregnant Woman:
    • Navigate to Student > Programs > Special Programs
      • Program Code - Select 163-Single Parent / Pregnant Woman.
      • Program Type - Select the applicable code. (PEIMS element E0829, code set C064)
      • Start Date - Select the date on which the student started receiving services.

  • For CTE students designated as out-of-workforce individual:
    • Navigate to Student > Programs > Special Programs
      • Program Code - Select 164-Out of Workforce Individual. (PEIMS element E1039, code set C088 yes/no)
      • Start Date - Select the date on which the student started receiving services.
