Navigate to School Info > Imports and Exports > Civil Rights Data Collection > Results tab
The Civil Rights Data Collection extract file will automatically be created after the tables have completed processing. Depending on the size of the district it could take from several minutes for a district of a couple thousand students to over 4 hours for a district with over 30,000 students to create the extract file.
The extract includes all of the schools selected in the Schools tab that also have NCES numbers. If two schools share the same NCES number the counts for the various tables will be added together and reported under one NCES number. The extract only includes the Civil Rights tables that Aeries processes, tables that Aeries does not support are not in the extract and must be hand-entered into the Civil Rights Data Collection Data Entry Tool. There are no options to limit the extract to certain Civil Rights tables. When uploading the extract into the Civil Rights website it will be a full replacement of the data in the extract file.
NOTE: Virtual Schools - Virtual Schools will need to be selected, however the NCES # will not be populated. The system will use the virtual students' Reporting Home School (STU.HS and ENR.HS) to count the students in their respective non-virtual schools.
It is very important to verify all Civil Rights Data Collection totals in Aeries prior to uploading the Civil Rights extract.
Once the extract file has been created it will display in the File Download area at the bottom of the screen. Click on the download icon to download the extract file. The downloaded file can then be uploaded through the Civil Rights Data Collection Data Entry Tool. After the data is imported into CRDC's site it is highly recommended that ALL data is verified in the Civil Rights Data Collection Data Entry Tool prior to certifying.
The Submit check box can be used to indicate which extract was used as the final import into Civil Rights.
NOTE: The schools selected in the Schools tab must have NCES numbers in order to be included in the Civil Right Extract. Virtual Schools will not have the NCES # populated. The system will use the virtual students' Reporting Home School (STU.HS and ENR.HS) to count the students in their respective non-virtual schools.
NOTE: It is very important to verify all Civil Rights Data Collection totals in Aeries prior to uploading the Civil Rights extract. Also, after the data is imported into CRDC's site it is highly recommended that ALL data is verified in the Civil Rights Data Collection Data Entry Tool prior to certifying.
Create Reset (NS) Extract
The Create Reset (NS) Extract link will create an extract file that will remove all data from a school uploaded onto the Civil Rights Data Collection Date Entry Tool site. For example, if counts were inadvertently submitted for tables that should not have any data, this extract can be used to remove all information uploaded from the Aeries Civil Rights extract for the selected school(s).
Click on the Create Reset (NS) Extract link to configure the reset file. By default the schools selected in the Schools tab will already be selected. Use the mouse to select the school(s) to be included in the "NS" Extract. Click on the Export button to create the NS Extract.
