Admin user types will automatically have the State Test Scores Reports node in the navigation without any additional security setup.
All other users and Portal Groups will need to be given read access to the State Electronic Test Scores permission set in order to see the State Test Scores Reports node and to see the ELPAC Electronic Test Results dropdown in the Language Assessment page. The permission to this area is set up in the Security node of the navigation. Please see the Security article for more detailed information on how to set up permissions for users and groups
When Electronic Reporting is fully available in ETS, the LEA CAASPP Coordinator for each district will be responsible for establishing Electronic Reporting credentials in TOMS (TOMS Login Page) which will provide them with a User Name, Secret Key, and Expiration Date. These credentials will then need to be entered into Aeries on the School Options page to allow users and parents in Aeries access to the student score reports in ETS.
From the School Options page click on the Enable State Electronic Test Scores option. This will open up access to enter the User Name, Secret Key and Key Expiration Date. If the Key Expiration Date is empty it will automatically populate with a date 90 days in the future. The date can be updated to match the Expiration Date provided with the credentials. If the Key Expiration Date is not empty then it will need to be updated to match the Expiration Date provided with the credentials. Click on the Save button at the bottom of the page to save the changes.
The School Options page is cached so it may take up to 5 minutes before changes to these fields are effective.
Most districts are a single LEA and will only have one set of Electronic Reporting credentials. In this case the User Name, Secret Key and Key Expiration Date can be entered into the District (School 0) School Options page and those credentials will work for all schools in the district. The (district) credentials are stored in the District Options (DPT) table.
Some district may include more than one LEA within their schools and will therefore have more than one set of Electronic Reporting Credentials. In this case the User Name, Secret Key and Expiration Date can be entered into the School level School Options pages so each school will use it's own appropriate credentials. The (school) credentials are stored in the School Options (OPT) table.
A mixture of District and School options can also be set up in the case were most of the schools will use one set of credentials (enter the credentials into School Options at the District level (school 0)), and a few schools will use a different set of credentials (enter those credentials into School Options at the School level for each of those schools).
