Update Code Table
A code for the Independent Study program must be setup in the Code table for the Student Program (STU.SP) field. Students can then be added to the Independent Study program from the Student Data form and the Attendance Enrollment can be updated to place the student into this program.
From School Info > Configurations, click Update Code Table. Select Table STU and Field SP, click Add New Record, and add a code for the "Independent Study" program. The code then displays in the Prog drop-down on Student Data > Demographics. If necessary, two codes can be added to separate long-term and short-term programs.
Update Absence Code Table
Two absence codes must be setup in the Absence Code Table, which are not already regular absence codes. One must indicate that the Independent Study work assignments are incomplete and the other must indicate that the work assignments have been completed.
From Attendance Accounting > Configurations, click Update Absence Codes (also available from Attendance Process Dashboard > A. Setup / Config). Absence codes are set up per school, so add them at each school that uses Independent Study. For the Independent Study Program, you will need to define two codes for Incomplete and Complete.
For example, N = Incomplete and Q = Complete.
It is very important that these codes are set up correctly. Click Add, enter the settings below, and click Save. New codes default to Excused absence - verified, so be sure to change the Type of Attendance. The following is an example:
- Code: N
- Description (up to 10 characters): ID STD INC
Abbreviation: ISU
- Independent Study: I (Incomplete Independent Study)
Under Type of Attendance, select Verified NOT ABSENT. Examples are school activity, independent study, home study, etc. Leave Count for ADA unchecked.
Add the second absence code for Independent Study Complete. For example:
- Code: Q
- Description: ID STD COM
- Abbreviation: ISC
- Independent Study: C (Complete Independent Study)
Under Type of Attendance, select Verified NOT ABSENT. Examples are school activity, independent study, home study, etc. Check Count for ADA. (In California, a code cannot count for ADA if it is an unverified, excused or unexcused absence, which is why this type is used.)
