Overview

Texas students may be given opportunities to earn certain Industry-Based Certifications (IBCs) during the school year. Students can receive a Performance Acknowledgment for each IBC earned. 


A Performance Acknowledgement record must be created for each IBC earned.


To enter IBC and Performance Acknowledgement records for individual students, use the Activities and Awards page. 

To mass enter data, use Mass Update Student Related Data if all students took the same IBC test and all data is the same. If your spreadsheet contains data for students who took a variety of IBC tests, use Import Data to Aeries.


IBCs are reported in Fall and Summer PEIMS Submissions in the StudentExtension, and are also reported on TREx. Performance Acknowledgements are not reported in PEIMS, but they are reported on TREx. Both IBCs and Performance Acknowledgements can be printed with student transcripts. See the State Reporting section below for additional details.

Configurations  

Update Code Table

  • Add district-defined IBC Reimbursement Status codes to ACT.IBS.

The following Activities and Awards fields are automatically populated with PEIMS C214 table data, so further configuration should not be necessary:

  • Code (ACT.CD) when Type = 3
  • Reason (ACT. RS) when Type = 4


Also, Vendor (ACT.IBV) is automatically populated with PEIMS C226 table data and generally does not need to be updated.

Steps  

For each IBC earned, two records must be created. First enter a record for the IBC, and then enter a record for the Performance Acknowledgement. You can mass add these records for multiple students at once, or you can add records for students individually.


Add Records for Multiple Students (Same Test)

If all students took the same test and the data is the same for all students, use the following steps. Otherwise, follow steps described in the next section.


First, open a spreadsheet that contains a list of Student IDs for students who earned the IBC.


Navigate to Functions > Mass Add Student Related Data


Enter IBC Records:

  1. Click Create New.
  2. For Target Table, select ACT.
    • Type:  Select Certifications, Licenses and Program Completions (3).
    • Code: Select the IBC earned. 
    • Date:  Enter Date IBC earned.
    • Fee: Enter the dollar amount if a fee was paid for the IBC test.
    • Vendor: If Fee is entered, select the IBC test vendor.
    • Reimbursement Status: Select a status if applicable.
    • Post-secondary Certification Licensure Result: Select the result of the IBC.
  3. From the spreadsheet, select and copy the list of student IDs, and then paste the student IDs in the Student Search box.


  4. Click Load Students
  5. Under Search Results (left), click All to select all students, or select individual students.
    Click the right arrow to move those students to the Selected Students (right) box.



  6. Click Mass Add Records.

  7. Once you have added the IBC for the students, repeat to add the Performance Acknowledgement records.


Enter Performance Acknowledgement Records:

  1. From Mass Add Student Related Data, click Create New.
  2. For Target Table, select ACT.
    • Type:  Select Performance Acknowledgements (4).
    • Code: Select Performance Acknowledgement Certifications/Licensures (PA6).
    • Reason: Select the IBC earned. 
  3. From the spreadsheet, select and copy the list of student IDs, and then paste the student IDs in the Student Search box.


  4. Click Load Students
  5. Under Search Results (left), click All to select all students, or select individual students.
    Click the right arrow to move those students to the Selected Students (right) box.


  6. Click Mass Add Records.


Add Records for Multiple Students (Different Test)

If the spreadsheet contains data for students who took a variety of IBC tests and the fields are different for all students, use the following steps.


Enter IBC Records:

First, create or obtain a spreadsheet that contains data for students who earned any IBC. Note that the spreadsheet cannot be open on your PC while using the import feature.



Navigate to Imports and Exports > Import Data to Aeries


  1. On the Import New File tab under 1-Upload Source File, select the file that contains the data.
  2. Under 2-Destination Table, select ACT - Activities and Awards.
  3. Under 3-Mapping and Import under Source Column From File, for each applicable field select the spreadsheet column heading to be mapped to the corresponding Aeries Field Name.

  4. Click Import X Rows. Once completed, the Imported File History tab opens to display the status of the imported data.


  5. Repeat to add the Performance Acknowledgement records.

Enter Performance Acknowledgement Records:

First, create or obtain a spreadsheet that contains data for students who earned an IBC Performance Acknowledgement. Note that the spreadsheet cannot be open on your PC while using the import feature.



Navigate to Imports and Exports > Import Data to Aeries


  1. On the Import New File tab under 1-Upload Source File, select the file that contains the data.
  2. Under 2-Destination Table, select ACT - Activities and Awards.
  3. Under 3-Mapping and Import under Source Column From File, for each applicable field select the spreadsheet column heading to be mapped to the corresponding Aeries Field Name.



  4. Click Import X Rows. Once completed, the Imported File History tab opens to display the status of the imported data.


Add Record for Individual Students

To add data for an individual student, use the following steps.


Navigate to Student Data > Other > Activities and Awards


Enter IBC Record:

  1. Click Add New Record.
    • Type:  Select 3-Certifications, Licenses and Program Completions.
    • Code: Select the IBC earned. 
    • Fee: Enter the dollar amount if a fee was paid for the IBC test.
    • Vendor: If Fee is entered, select the IBC test vendor.
    • Reimbursement Status: Select a status if applicable.
    • Post-secondary Certification Licensure Result: Select the result of the IBC.
       
  2. Click the Save icon.



Enter Performance Acknowledgement Record:

  1. Click Add New Record.
    • Type:  Select 4-Performance Acknowledgements.
    • Code: Select PA6-Performance Acknowledgement Certifications/Licensures.
    • Reason: Select the IBC earned. 
  2. Click the Save icon.



State Reporting  

PEIMS


IBCs are reported in Fall and Summer PEIMS Submissions in the StudentExtension.

  • POST-SECONDARY-CERTIFICATION-LICENSURE-CODE (E1640) (Code table C214) (ACT.CD)
  • IBC-EXAM-FEE-AMOUNT (E1654) (ACT.IBF)

Performance Acknowledgements are not reported in PEIMS.


TREx

IBCs are reported in TREx in the following elements:

  • <IBCEarned> <IBCCode> : Indicates which C214 certificate was earned (ACT.CD)
  • <IBCReimbursement> : Indicates if exam cost was reimbursed (ACT.IBS)
  • <TX-PostSecondaryCertificationLicensureResult>: Indicates the result of the certification (ACT.PCR)


Performance Acknowledgements are reported in TREx in the following elements:

  • <CertLicType> : The code for the Performance Acknowledgement (ACT.RS)
  • <MetDate> : The date the Performance Acknowledgement was awarded (ACT.DT)

Transcripts

Both IBCs and Performance Acknowledgements can be printed with transcripts by selecting them on Transcript Definition > TTP - Things to Print.



Student Profile

IBCs are not reflected on the Student Data > Profile page.


Performance Acknowledgements are listed on the Profile page under Recognitions.


Student Graduation Status

IBCs are not reflected on the Grades > Graduation Status page.


Performance Acknowledgements are listed on the Graduation Status page under Recognitions.
