PSTS Extract - Fall 2

Overview 

The Fall 2 tab includes a new extract, the Post-Secondary Status (PSTS) file, that applies to the previous academic year cohort. The extract collects information on two groups of students:

  • CA Partnership Academy student who exited the previous academic year cohort. 
  • Career Technical Education Completers - students who exited in the previous academic year cohort with specific exit codes (100,120,250,320,330,360) and were identified as Completers. This survey information was previously submitted to the CDE through the Perkins Data System (PDS) which is now retired.


Students with a proper completion code and a matching Cohort Year (STU.CHT) will be extracted from the prior year database when the PSTS Extract is processed during the Fall 2 submission. For example, for the Fall 2 data submission window in the 20-21 school year, the PSTS data will be submitted for students in the 19-20 Cohort who have one of the listed completion codes.

A new tab located on Secondary Student Data (SSD) table has been created for the Post-Secondary Survey linked to a new table. (PSS) This data MUST be populated in the prior year's database.  It will be drawn from the prior year database when the extract is created in the current year database.



Any records that existed in the old SSD.PSS field have been moved to the new PSS table. The old fields on SSD that used to capture information have been disabled with a note to use the new Post-Secondary Survey tab: 



LEAs will now submit the Post-Secondary Status data they have collected to CALPADS twice a year. During Fall 2, LEAs submit data collected for CA Partnership Academy and CTE completers for only students who exited secondary education in the previous academic year.  During End-of-Year (EOY) 4, districts submit data collected for students with disabilities (SWD) who completed secondary education in the previous academic year. However, this data collection will come directly from the Special Education Data Systems, and not Aeries.


Capturing Post-Secondary Student Survey Results  

The CDE has provided a template to use to collect this data for recent grads. Once the data is collected, it can be hand entered into the student's record as it is received or imported using the Import Data to Aeries Process. Make sure to enter the data into the school year in which the student completed their 12th grade year.

 

Note:  When entering the Post-Secondary Status for students, make sure to populate the PSS fields in the prior year's  database at the school where the primary enrollment's final exit was recorded for the student, regardless of where the CTE Completer status was earned. It should NOT be entered into a student's secondary enrollment school. Also, make sure the students to be extracted all have the correct Cohort Year (STU.CHT).

ALSO:  Both the prior year AND current year databases must be located on the same server for the PSTS extract to work properly, and be both be updated to use the most recent version of Aeries.

When entering data, the green highlighting will adjust depending on the code selected from the drop-down box to indicate the REQUIRED fields for each code type. 



More than one record can be entered for each student, depending on their survey responses.



PSTS Extract - Fall 2  

The Fall 2 extract is done in the current year. When creating the PSTS extract, the system will reach back to the prior year's database to create the PSTS extract. Any data corrections needed MUST take place in that prior year database.




NOTE:  In order to extract the PSTS record as described above, the following data must also be populated in the prior year: CPW-Career Pathways, CPW.CD-Career Pathways Code, CPW.CM-Completer?, CPH-Career Pathways History, CPH.CD-Career Pathways Code.
