Off Grade Courses Continue to Display When Using Transcript Limit Records
Issue
On the Transcript page, the Limit Records option can be used to display transcript records within a selected grade range. However, courses that have been added as Off Grade Courses may continue to display even when the selected grade range would normally exclude them.
For example, in a high school with grades 9–12, a student may have high school credit courses completed in grade 8 and configured as Off Grade Courses. If Limit Records is set to display grades 10–12, the grade 8 Off Grade Courses may still appear on the transcript page along with the grade 10–12 records.
Cause
Off Grade Courses are designed to identify courses that were completed outside the school's normal grade range but should still be included on the student's transcript. When Off Grade Courses are present, those courses may continue to display on the Transcript page regardless of the grade range selected in Limit Records.
As a result, the Limit Records filter may not remove Off Grade Courses from the transcript display, even when the course grade level falls outside the selected range.
Resolution
This behavior is expected when Off Grade Courses are configured for the student.
- Use Limit Records to narrow the display of standard transcript records.
- Be aware that Off Grade Courses may continue to display even when their grade level is outside the selected range.
- If a course appears unexpectedly, review the school's Off Grade Course configuration to determine whether the course was intentionally designated to appear on the transcript.
