We recommend that districts allow families who have already begun the enrollment process in the Online Enrollment system to complete their submissions there before transitioning to Enroll Path. Districts should determine their own cutoff date and communicate it directly to families using their existing communication tools and policies — notifying them that they have until [date] to complete their enrollment, or they will need to restart the process in the new system. Any guardian who has not completed their enrollment prior to that date will be expected to submit a new enrollment through Enroll Path.

Districts will configure Enroll Path for enrollment-specific document management and workflows.

Will districts receive guidance on transitioning to Enroll Path?
Yes. Enroll Path documentation will be available in support documentation prior to go-live, covering initial setup and configuration steps. However, because Enroll Path offers significantly more flexibility and customization than Online Enrollment, direct migration isn't practical or recommended. Instead, districts should view this as an opportunity to redesign their forms and workflows from the ground up, leveraging Enroll Path's full capabilities. Districts with custom questions on their current forms will need to rebuild those using Enroll Path's form builder.
Can districts switch back to Online Enrollment if Enroll Path doesn't meet their needs?
No. Reverting to Online Enrollment is not supported and is not planned for future development. Enroll Path represents a permanent upgrade — not a parallel system. Aeries is committed to helping districts make confident, informed decisions before go-live through thorough preparation and planning. If issues arise after enabling Enroll Path, our standard support process will address them, with the goal of moving forward successfully.

Will Aeries provide communication templates to help districts inform families about Enroll Path?
Yes. Aeries will provide a sample parent communication email in support documentation that districts can customize. Districts should adapt the messaging to match their tone, policies, and enrollment timeline, then send it through their existing communication channels and tools.
When should districts start preparing for Enroll Path?
Aeries recommends beginning configuration and testing 4–8 weeks before your go-live date, depending on enrollment volume. This timeline allows for school setup, document configuration, form creation, translations, and comprehensive testing before opening to families. If your district is also setting up Geographic Boundaries, plan for additional time to obtain and validate boundary files from your county GIS office. The earlier you start, the smoother the transition will be.
Does Enroll Path send confirmation emails to families after they submit an enrollment?
Yes. Enroll Path includes automated confirmation emails sent to families after they successfully submit an enrollment.
Does Enroll Path alert parents when their enrollment is missing required items?
Yes. This is handled through the Action Required feature. When an enrollment staff member (registrar, enrollment specialist, authorized admin, etc.) reviews a submitted enrollment application and identifies something that needs to be corrected or completed, they can set the status to Action Required. This triggers an email notification to the parent/guardian and clearly surfaces the submission so staff can act quickly, resolve issues faster, and keep enrollments moving forward.
Can staff send mass email reminders to families who have not completed their enrollment?
Yes. Districts can design an email template to use for parent/guardian notifications. For enrollments in In-Progress status, districts are able to send mass reminders to those families.
Can registrars send messages to families directly from within Enroll Path?
Yes. Enroll Path includes automated confirmation emails sent to families. In addition, the Action Required status triggers an email notification to the parent.
Form Configuration & Flexibility ↑
Does Enroll Path include a form builder that allows districts to create custom questions?
Enroll Path gives your district a head start. You receive a standardized Aeries template built for accuracy and SIS compatibility, so you spend your time configuring, not constructing. The foundation is already solid, and you can tailor the experience to your own district by customizing sections, fields, and creating custom questions that map directly to fields in the STU (U1–U13) or SUP tables, providing parity with the configuration capabilities of our current online enrollment system. This approach ensures consistency, maintains data integrity with the Aeries SIS, and gets districts up and running quickly without the overhead of designing a form from the ground up.
Can districts customize which fields are required in Enroll Path?
Aeries requires a specific set of core fields to ensure successful student record import. Beyond those locked fields, districts have complete control over marking additional fields as required or optional. Districts can also determine how many guardians and contacts are required, allowing them to configure forms that match their specific enrollment needs.
Can districts set up conditional logic in their enrollment forms?
Yes. Enroll Path supports conditional logic, enabling districts to create custom questions with conditional response types. Conditional logic can be applied to Student User fields (U1–U12) and any Supplemental Fields that districts create, giving them flexibility in designing dynamic forms. When a supported field is selected, a Conditional Questions toggle appears in the field's properties panel. Enabling it lets you specify a trigger response, with the answer that reveals one or more follow-up questions directly beneath it. You can add an unlimited number of follow-up questions to a single trigger response, but follow-up questions cannot themselves trigger additional questions.
Can districts set up different enrollment forms for different schools?
Yes. Districts can create a single enrollment form that applies district-wide or set up individual forms for each school. This flexibility allows districts to tailor the enrollment experience to match their organizational structure and specific needs.
Does Enroll Path support multiple enrollment scenarios like returning students, transfers, and charter enrollments?
The initial release of Enroll Path is designed to support new student enrollment. Support for additional scenarios such as returning students, inter-district transfers, charter enrollments, parent data confirmation, and others is being evaluated for future releases.
What languages does Enroll Path currently support?
Enroll Path currently supports the following languages: English, Spanish, Armenian, Arabic, Chinese, Korean, and Vietnamese.
Is there a sandbox or testing environment available in Enroll Path?
Enroll Path does not have a separate sandbox or staging environment, but the platform is designed with a built-in workflow that achieves the same goal — allowing staff to build, test, and refine forms without any impact on what families see.
Do districts need to build their enrollment forms directly into Enroll Path rather than uploading a PDF to convert?
Yes. Forms must be built directly in Enroll Path rather than converted from a PDF. This approach enables custom questions, conditional logic, electronic signature fields across multiple sections, a variety of drag-and-drop field type options, and the ability to duplicate forms for future enrollment years.

How does Enroll Path handle document uploads and validation?
Enroll Path streamlines document management for both families and staff. Guardians experience a familiar document upload process with the added ability to provide digital signatures directly within enrollment. Registrars benefit from an Enrollment Management page that displays at-a-glance document status for each guardian and allows quick document review without leaving the page. When enrollment status is updated to Enrolled in Enroll Path, records in the Student Documents, Document Download/Conf, and Authorizations pages in Aeries are automatically updated.
How does Enroll Path protect student personally identifiable information (PII)?
Aeries prioritizes student data protection throughout Enroll Path. The system complies with all applicable privacy laws and regulations, including FERPA, using the same safeguarding protocols implemented across all Aeries products. Enroll Path operates on a permission-based model, ensuring only authorized district staff can access student information. Data protection is a shared responsibility: while Aeries provides the technical safeguards, districts must ensure appropriate access controls, staff training on privacy policies, and alignment with FERPA and state regulations.
Can staff review documents uploaded by families during the enrollment process?
When reviewing an enrollment in the Enrollment Management page, staff have access to a Documents column in the enrollment table and can open the full Enrollment Detail modal by clicking Review. From there, they can see the student's submitted information alongside any uploaded documents. This will require a manual staff review of the uploaded documents.
Can documents be removed from use without being permanently deleted?
In the Documents feature, users can archive documents if they no longer want them to be used. Archived documents can also be unarchived for future use.
What are the file size limits for uploads in Enroll Path?
- District-uploaded documents (such as Student Handbooks requiring parent acknowledgment): up to 100 MB
- Images (such as a school logo): up to 5 MB
- Parent-uploaded documents: District Admins have configurable options for both size (up to 100 MB) and accepted file types, including PDF, DOC, WPD, RTF, DOCX, XLS, XLSX, PPT, PPTX, TXT, CSV, JPG, PNG, WEBP, GIF, BMP, SVG, HEIC, AVIF, HEIF, and TIFF

Will Enroll Path change how we handle scheduling and attendance?
No. Enroll Path is focused exclusively on the enrollment process and does not affect scheduling or attendance functionality.
How does Enroll Path handle program placement surveys?
When guardians complete Foster Care, Military, Language and Residence surveys during enrollment, the data automatically syncs to the corresponding audit pages in Aeries:

Does Enroll Path support CALPADS readiness?
Yes. Enroll Path offers enhanced field configuration that helps districts gather CALPADS-required information more effectively than Online Enrollment. Core fields essential for student record import remain locked, but districts have broad control over additional field requirements. This allows districts to tailor their enrollment forms to ensure consistent collection of data needed for accurate CALPADS reporting.
Can parents use their existing Aeries credentials to log into Enroll Path?
No. Parents will need to create a new login for Enroll Path.
Will staff need to log in to a separate site with different credentials to access Enroll Path, or will it be accessible through Aeries?
Enroll Path currently lives at its own URL and uses separate login credentials, but seamless access is coming. Once the SSO integration is available, Admin and Enrollment users with an Enroll Path account will be able to log in directly from the Aeries Navigation Tree with no extra credentials needed.
How does Enroll Path handle matching when a submitted enrollment may belong to a student who already exists in Aeries?
When a parent submits an enrollment, Enroll Path automatically searches for possible existing students that match the submission (first name, last name, DOB) and if a possible duplicate is identified, an indicator will alert the user of a potential existing student allowing the enrollment user to decide if the new enrollment is valid or not.
If Enroll Path identifies multiple possible student matches, can staff override the result?
Before importing, the enrollment user or admin user will have the ability to review the data in Enroll Path. There is no override option. If Enroll Path identifies multiple possible matches, district staff will review the suggested matches and determine the correct one. The district makes the final decision on the match.
In Enroll Path, can staff view enrollment submissions without having permission to support students?
Enroll Path currently includes two levels of permission: the Admin account and the Enrollment account. The Enrollment account has permission to both view and import student enrollments.
Does Enroll Path provide a district-level dashboard for tracking enrollment statuses?
Yes. Enroll Path includes a dashboard that displays the following enrollment totals: Total Enrollments, In-Progress, Submitted, Action Required, and Enrolled.
Can staff track how many families are active in the enrollment process?
Yes. The Enrollment Management page includes a dashboard at the top with five status cards showing real-time enrollment counts across your district: Total Enrollments, In Progress, Submitted, Action Required, and Enrolled. Clicking on any card filters the enrollment list below to show only records in that status, making it easy to focus on a specific stage of the process.

How should districts decide whether to adopt Enroll Path now or wait until next year?
Enroll Path offers significant advantages over Online Enrollment, making early adoption worthwhile for many districts. Districts are ideal candidates for immediate implementation if they:
- Want flexibility to create multiple enrollment forms for different schools or enrollment scenarios
- Seek a more modern, intuitive experience for staff and guardians
- Desire greater control over required fields, conditional logic, and document management
Districts are encouraged to evaluate and transition sooner rather than later. Online Enrollment support will not continue indefinitely, and early adoption gives districts time to become comfortable with the new system at their own pace.
How is Aeries gathering input from districts for future Enroll Path updates?
Aeries has assembled an early adopter focus group comprised of districts using Enroll Path in real-world environments. These districts are providing direct, hands-on feedback that will guide the development of upcoming releases and enhancements. Districts who implement Enroll Path will have the ability to submit Aeries Ideas for this product.
Can Enroll Path be used for after-school program enrollment and registration?
Enroll Path is not designed for after-school program enrollment at this time. For after-school registration needs, we encourage exploring Activity Hero as an alternative solution.

Is Enroll Path an additional fee on top of what we already pay for Online Enrollment?
No — and this is important to clarify. Enroll Path is not an add-on to Online Enrollment. It replaces Online Enrollment. When your district transitions to Enroll Path, you stop using Online Enrollment and stop paying for it. You would never pay for both at the same time.
Enroll Path is a separate, add-on product — not included in your current Aeries Hosted subscription. Enroll Path is Aeries' modern enrollment solution and the long-term evolution of Online Enrollment (OE).
Enroll Path has been built from the ground up with a mobile-first experience, real-time administrative dashboards, automated duplicate detection, and configurable workflows designed to improve efficiency and the family enrollment experience.
So what does the pricing actually look like for a district currently on Online Enrollment?
Pricing for current OE customers:
As part of the transition to Enroll Path, Aeries is offering current Online Enrollment (OE) customers preferred pricing to move to the new platform at a reduced rate. This is intended to provide existing customers with an affordable path to adopt Enroll Path early while securing price protection during the transition period.
Preferred Early Transition Pricing (contract by June 30, 2026)
- Additional $0.35 per student/year.
- Rate guaranteed through June 2028.
- Secures preferred legacy customer pricing and price certainty during transition.
Standard Pricing (beginning July 1, 2026)
- Additional $0.50 per student/year.
This early transition pricing is designed to reward current OE customers with a lower entry point into Aeries' modern enrollment platform while providing time, flexibility, and cost predictability for planning.
The "+$0.35" framing means it's a small incremental uplift above your current OE rate — not a new standalone charge on top of what you're already paying.
Is Enroll Path replacing our current Online Enrollment?
Yes. Enroll Path is the modern replacement for the current Online Enrollment (OE) product — rebuilt from the ground up with a mobile-first experience, real-time dashboards, automated duplicate detection, and configurable workflows. It is not a facelift or redesign; it is a new product designed to do everything OE does today, and much more.
Enroll Path does not include the annual registration process currently done via Parent Data Confirmation. It will have that capability, but as a later feature addition.
We just got Online Enrollment up and running. Do we have to start over?
No. Your current Online Enrollment setup remains fully supported. When you are ready to transition to Enroll Path, your Aeries team will guide you through the process. You will not be running two enrollment systems simultaneously.
What about other options for Lottery or School of Choice?
These offerings will be available as separate add-ons and are not included in the base Enroll Path price, so districts can choose the right fit for their community.
