Grade Reporting & Gradebook
The following Grade Reporting and Gradebook tasks should be done at the end of each cycle, semester, or trimester throughout the school year.

If using a third-party gradebook, import grades into the Aeries GRD table.
School Info > Imports and Exports > Import Data into Aeries
|Indicate if a student is exempt from a semester exam.
Grade Reporting > Configurations > Valid Marks

Aeries Gradebook > Manage > Assignments > Add Assignment
Copy the previous marks into the Grade History table (must be done prior to initializing the Grade table). You are prompted to select a mark to copy. Normally, the most recent previous mark is copied to GRH.
Grade Reporting > Functions > Initialize New Grade Reporting Cycle (Update Grade History (GRH) option)
Indicate the date ranges when teachers can enter grades for each grade reporting period. (Note that these dates are not the grade reporting periods).
School Info > Portal Management > Portal Options > Grades (Open SBG Grading Windows for Teachers)
The day before the Grading Window opens, initialize the Grade table for the appropriate mark.
Grade Reporting > Functions > Initialize New Grade Reporting Cycle
If using standards-based grading, initialized the Standards Based Grade Reporting table.
Standard Based Grades > Functions > Initialize New Grading Cycle
(Teachers) Complete entering all assignment scores for the reporting period.
Gradebook > Scores by Class
(Teachers) Load grades from their Gradebooks into Teacher Portal.
NOTE: The Load Grades from Gradebook button is only visible during the date range specified on Portal Management > Portal Options > Grades.

(Elementary) Standards Based Grades (Load Grades from Gradebook link)
(Teachers) Enter citizenship and work habit grades for students.
(Teachers) Enter comments for students.

Student Data > Grades
Teacher Portal > Mass Add Values
(Optional) (Teachers) Mark grades as complete once all information is entered and accurate.
Teacher Portal > Grades (Mark Page as Complete button)
Distribute the Missing Mark Listing Report to teachers to alert them of any missing marks.
It is recommended that the reports be distributed once most teachers have submitted their grades, before their window to enter grades has closed.

Distribute the Grade Report Mark Verification Listing Report to teachers immediately after grades are submitted to verify that the marks were submitted properly. The report includes a signature page.
The teacher makes corrections on the list, and corrections can be updated prior to printing report cards.

Update all corrections before printing report cards.
Compute all GPAs and class rank before printing report cards.

If attendance is printed on the report cards, update attendance totals in the Grades (GRD) table prior to printing report cards.

Print report cards.
Print standards-based report cards if using.

Generate various reports as needed.

After printing report cards, generate report card history. (GRD > RCH)
Reports > Grades > Grade Report Cards (Generate Report Card History button)
Copy grades from the Grades table to the Grade History table, and store all grade history such as citizenship, comments, absences, tardies, etc. (GRD > GRH)
(SBG) If using standards-based grading, copy marks from the Standards Based Grade Reporting table into the Standards Based Grade History table. (SBG > SBH)
Grade Reporting > Functions > Copy Grades to GRH
Standards Based Grades > Functions > Copy SBG to Standards Based History
After semester grades are complete, copy student grades from the Grades table to the Course History table. The Course History table records will print on a student’s transcript. (GRD > HIS)
Grade Reporting > Functions > Copy Grades to Transcripts
(Teachers) Close the Gradebooks and move them to the Past Terms gradebook area.
The Close Gradebook check box is only displayed if Single Term is selected.

Monitor graduation/college readiness.
Grade Reporting > Graduation/College Readiness Dashboard
Send graduation status letters to parents.
Reports > Grades > Graduation Status Letter
Reports > Grades > Graduation Status Report By Student
|Track any students who are graduating early under the Texas First Early High School Completion Program.
