Overview

In Texas, the class ranking for graduating seniors may occur outside the end of a semester, such as the end of the fifth six weeks or third quarter. The steps below apply only to districts using custom District GPAs.

NOTE: Use the new Senior Preliminary GPA and Class Rank feature to select multiple grading marks, add repeat tags, and view all courses used in the calculation.  See Texas - Prepare Senior Preliminary GPA and Class Rank

The Senior Preliminary GPA and Class Rank is a feature that needs to be turned on in the database through an internal Feature Flag before it is available. The Senior Preliminary GPA and Class Rank can be enabled by contacting Aeries Support for special instructions on using the hidden Feature Flags page. 



Steps  

  1. Before proceeding, the 5th six weeks or 3rd quarter grades must be posted.

  2. On School Options (district level) under Other Settings select Do Not Recompute GPAs and Ranks Automatically.

  3. On Recompute Cumulative GPAs and Class Rank (campus level):
    • Select Include Current Grade Mark from GRD in District GPA Calculations. This option is only displayed if Do Not Re-compute GPAs Automatically is selected on School Options (district level). When selected. the District GPA calculation will include the current grading period marks.

    • Under Lock Class Ranks for Cohorts by District GPA, the cohort of the graduating class should NOT be selected. Cohorts should not be selected until the rank calculations have been verified and accepted.


      NOTE: The message in the yellow box explains that in order to manually verify a student's GPA (as instructed in the steps below) you will need to use the Semester 1 and 5th six-weeks/3rd quarter grades to calculate the average, because the Semester 2 grade will not yet be available.

      Any student courses where the student did not earn credit due to attendance will not be included in the GPA calculation.

  4.  Click Recompute GPAs and Class Rank. Once the process is complete, verify that the calculations are correct by selecting some test students. For example, review data for the top ten students.

    If there are any concerns with the calculations, submit a FreshDesk ticket.

  5. Once the data is verified and accepted:
    • Clear the Include Current Grade Mark from GRD in District GPA Calculations field.

    • Under Lock Class Ranks for Cohorts by District GPA, select the cohort of the graduating class to lock the rank for all students in their natural grade level.

    • There is no Save button. These settings are saved automatically.

  6. (Optional) Return to School Options (district level) and clear the Do Not Recompute GPAs and Ranks Automatically field to prevent unintentional recomputation.

  7. Run 6th six weeks or 4th quarter GPA process normally (as you did for Semester 1).
