Overview

This is to show how the Scheduling Items may be used to start the setup of Elementary w/MST within a Scheduling Type of Elementary School setting


Currently the School Options show that Scheduling Type is set for an Elementary School


Using the URL to change pages (for this example the Home page is being used) Default.aspx


Highlighting the text Default.aspx, change the URL to read ScheduleDashboard.aspx at the end



This will show a page that is not typically available to an Elementary School


Once the Page is on the screen, set it to Favorites by click the Star at the right.  This will turn it gold (meaning Favorite)


This will place the Scheduling Process Dashboard in the Favorites space at the bottom.  Subsequent times of using the Favorites will cause the Scheduling Process Dashboard to alphabetize in the listing.





Scheduling Process Dashboard

Setup/Config

  1. Scheduling Setup- select the following
    1. Scheduling students into classes for next school year, using their grade level next year
    2. Not scanning course requests and not having students enter course requests online
    3. Blank out SSS table
    4. Blank out SMS table
    5. Hit button - Initialize Scheduling
  2. Courses
    1. Verify or create courses for self contained classroom
      1. i. TK Core, 1st Grade Core, 2nd Grade Core, etc
  3. Course Request Packets - not needed
  4. Update Course Request Options - not needed
  5. Portal Options - Scheduling tab - not needed


Course Requests

Build Scheduling Master Schedule (SMS) - (master schedule for Next Year)

  1. Scheduling Master Schedule
    1. Add a new section for each teacher - Example 3rd Grade Teacher
      1. Section - can be automatic or setup based on Grade - 301, etc
      2. Period 0 (or whichever period is used for attendance)
      3. Blk = 1
      4. Sem = Y
      5. Course = E300 (in our training database)
      6. Teacher = (3rd grade teacher from list)
      7. Role = teacher
      8. Room # = ??
  2. SMS Board - can be used to view or manipulate the sections created

Schedule Students

  1. Mass Change Section Numbers
    1. Temporarily - Add all of a single grade to a single section - for example - all 3rd
    2. grade students go to Mr. Thompson, section 301. Be sure to check box “Allow
    3. Overloaded Sections”
    4.  Repeat for all grades, put each grade into a single section

Other Procedures

Moving Students to their permanent sections in SMS

  1. Go to Scheduling Process Dashboard (in favorites)
  2. Go back to Building Scheduling Master, then Scheduling Master Schedule
  3. Choose a section with all of a single grade of students in it.
  4. Tag students who will go to a certain permanent section, then use Move Tagged Students

As new students get enrolled for the current year, add them to SMS Course Requests

  1. Enroll students normally under Elementary processes
  2. Go to Scheduling Process Dashboard (in favorites)
  3. Go to Course Requests, then Student Course Requests
  4. Add a new Course Request, but only put in the Teachers section #, hit save

Printing Reports- should be done with few teachers and staff are in Aeries

  1. Must change temporarily to Elem w/MST on School Options, Log out, Log in.
    1. Class Lists, using SMS
    2. Students w/no course requests
  2. Must change back to Elementary on School Options, Log out, Log in.


After New School Year Rollover

  1. Roll over to New Year normally under Elementary processes
  2. Change School Options to Elmentary w/MST, then log out of Aeries and back in.
  3. Go to Scheduling Process Dashboard (in favorites), then Finalize
    1. Choose “Copy Scheduling Results to SEC & MST”
  4. From then on assign students into individual sections using Classes page
