Known Issue - Gradebook Assignment Scores Being Saved as Numeric Values Rather Than SBG Values Since 12/1/2022 Update for Schools that "Require Teachers to use Standards' Mark Types for Assignment Scores" - FIXED 12/21/2022

UPDATE: This issue has been resolved with the 12/21/2022 release. Please follow the steps outlined below to fix any existing bad data arising from this issue.


Here are the Revision Notes:

  • Gradebook - When grading a standard in the Scores by Class, Scores by Assignment, Scores by Student and Scores by Standard, the score percent was recorded in the GBS.MK field instead of the mark when the gradebook overall standard is blank, fixed.

 



Background:

With the 12/1/2022 update we added an Overall Standard field on the Teachers' Edit Gradebook page. This field displays only for SBG gradebooks in schools where the "Require Teachers to use Standards' Mark Types for Assignment Scores (SBG Gradebooks Only)" Portal Option is True.  This field was added to populate the SBG Mark dropdowns on the Teacher Gradebook "Scores by" pages for assignments that do not have any standards associated with them, or for assignments with standards but "Input by Standard" is not selected. In these 2 cases the dropdown will be populated with SBV marks based on the Overall Standard.
We highly recommend that elementary teachers in schools that have this Portal Option turned on select and save an Overall Gradebook Standard that is within the subject area of each gradebook.

Issue:

Since 12/1/2022 if these conditions are met:

  • SBG gradebook
  • in schools with the "Require Teachers to use Standards' Mark Types for Assignment Scores (SBG Gradebooks Only)"  Portal Option on
  • gradebook does not have an Overall Standard selected, and
  • assignments have Standards and Input by Standard is selected 

then the GBS (Gradebook Assignment Score) records are saving numeric values as the Mark rather than the translated SBG Mark. The GBD (Gradebook Assignment Standard Scores) are still saving the selected SBG Mark, but the GBS record, which is calculated, does not. 


The teachers will not see any difference on the Gradebook Scores by pages, but they will notice that those assignments will display numeric grades on the Gradebook Details page. Parents, Students and Admins will also see the numeric assignment scores. This is not a page display issue, but rather a data issue. 


To minimize the spread of bad data we recommend that the teachers select an Overall standard for each gradebook. NOTE: when they go to the Edit Gradebooks page the field will display the 1st standard on the report card for the Gradebook's grade level. They will need to click on Save to save that standard as the Overall standard, or select a different standard and then click on Save.


 To fix the bad data the teachers should follow these steps for each assignment where scores were entered after 12/1/2022:

  • Go to the Gradebook > Scores by Assignment page
  • Go the the assignment
  • Click on the Show More chevron
  • Click on the Mass Assign Values
  • Select the Comment option on the  Set the dropdown. Do not put a value in the to box.  
  • Click on Overwrite existing values
  • Click on Save Mass Changes 
    NOTE: they do not need to enter a comment. Just clicking on the Save Mass Changes will trigger the recalculation of the GBS records. Also, they only need to save the comment once per assignment, even if the assignment has multiple standards.


Our developers are working on a fix for this issue but in the meantime the steps outlined above will minimize the impact.

Sylvia, can you please contact me for this new "feature" is causing other issues with teacher gradebooks and importing, I believe.  Thank you.
