Aeries Revision Notes 12/1/2022

New Features

  • Gradebook > Manage > Edit Gradebook - For standards-based (SBG) gradebooks, the Overall Standard lookup field was added allowing an overall standard to be defined for the gradebook for assignments that do not have associated standards. The lookup uses the Standards Based Valid Marks (SBV) table to display available report card standards. The new field is only available if Require Teachers to use Standards' Mark Types for Assignment Scores (SBG Gradebooks Only) is selected on Portal Options > Gradebooks. See Standards - Applying Different Mark Types to Terms   and  Gradebook Overview

  • Import Test Results - The NWEA Map Test import now supports new test parts for the 2022-2023 administration. See Test Specific Information - NWEA MAP

  • Initialize New Grade Reporting Cycle and Update Grade Reporting Absence Totals - The pages now take into account the new Total Attendance Across Schools/Campuses option on the District Settings page which enables district attendance totals for absent, tardy, present, and enrolled students. The option combines totals for students taking different sections of the same course, either at the same or different school during the grade reporting period.

  • District Settings - The Total Attendance Across Schools option was added under Grade Reporting Settings to provide district attendance totals for absent, tardy, present, and enrolled students. For California the option is disabled by default. For Texas, the option is enabled by default and is named Total Attendance Across Campuses. The option is honored by the following pages:

    • Attendance Based Grade Reporting

    • Initialize New Grade Reporting Cycle

    • Update Grade Reporting Absence Totals

California Specific

  • CALPADS Extracts - During the SENR ODS Reconciliation, the SENR records for students with enrollment data from the prior year contained in the current year database were skipped (e.g., students whose Summer Withdraw Leave Date was the last day of the prior school year), fixed.

Texas Specific

  • TREx Import - The Student Record and AAR Transcript extracts now include all STAAR and TELPAS assessments. See TREx Field Mapping

  • Transcripts Definition - The Graduation Date Format field was added under Design Options allowing schools to select whether to print the graduation date in short format (MM/YYYY) or long format (MM/DD/YYYY) when running the Student Transcripts report. The default is short format. See Texas - Student Academic Achievement Record (AAR)/Transcript.

  • Special Programs - Code 413 was added to the Program Code field to identify students who spend at least half of their instructional time enrolled in virtual courses without the benefit of funding under ADA, which is a new required element for the Summer PEIMS submission (VIRTUAL-STUDENT-NOT-IN-MEMBERSHIP (E1735)). See StudentExtension Interchange - Field Mapping and Rules

  • Texas State Reporting (Summer PEIMS) - The StudentExtension interchange file now includes the VIRTUAL-STUDENT-NOT-IN-MEMBERSHIP (E1735) element which is extracted from the Special Programs page. See StudentExtension Interchange - Field Mapping and Rules

  • Grades - The Copy to Transcript button no longer updates the Credit Completed field (HIS.CC) when the class is flagged for Attendance Based Grades (HIS.ABG = Y). See Transcript Averaging

  • Classes and Course Attendance - When using the Copy to Transcript feature, the Issue Credit button no longer updates the Credit Completed field (HIS.CC) when the class is flagged for Attendance Based Grades (HIS.ABG = Y). See Transcript Averaging.

  • Copy Grades to History - The process no longer updates the Credit Completed field (HIS.CC) when the class is flagged for Attendance Based Grades (HIS.ABG = Y).

  • Transcripts - The Credit Completed field (HIS.CC) was automatically populated even when the class was flagged for Attendance Based Grades (HIS.ABG = Y), fixed. This included when a Course ID was changed.

Database Changes

  • Transcript Definitions (TDF) - Added the Graduation Date Format (GDF) field to allow schools to print the graduation date in short format (MM/YYYY) or long format (MM/DD/YYYY) when running the Student Transcript report.
