New Features

  • Teacher Files (My Briefcase) - This new page was added to allow office staff to view files uploaded by teachers from their My Briefcase and Gradebook Files areas. A user must have Admin permission to the TFL table to access this page.
  • Master Schedule - The section website and meeting URLs are now available to view and edit if the user has appropriate permissions.
  • Student Groups - A feature was added allowing users to create a simple dynamic group based on STU fields. By selecting STU in the Dynamic Group Type option, the option to select a STU field and select codes to group on are made available. See Creating a Student Group and Student Groups Overview.
  • Bell Scheduler - The page now supports Flex Scheduling. See Bell Scheduler.
  • Student Room/Section Listing Report - The report now supports Flex Scheduling.
  • Instructional Minutes by Student Report -The report now supports Flex Scheduling. See Flex Scheduling Reports report.
  • Scheduling Master Schedule Board Report - The report now supports Flex Scheduling. Up to ten periods can be printed at a time, and a starting period can be selected from the options page before printing. See Flex SMS Board.
  • Security Permissions - The Teacher Website and Meeting URLs permission area was added allowing users to have Read and/or Update permission for this information on the Master Schedule page. 
  • Portal Options - Banned file extensions for the Student Backpack and Teacher Briefcase now must always contain a set of pre-specified values.  Districts can add additional extensions, but they can no longer remove .bas, .bat, .chm, .cmd, .com, .cpl, .crt, .exe, .hlp, .hta, .inf, .ins, .js, .jse, .lnk, .msc, .msi, .msp, .mst, .pcd, .pif, .reg, .scr, .sct, .shs, .url, .vb, .vbe, .vbs, .wsc, .wsf, .wsh. 
  • Aeries Reporting Service - Database credentials for executing scheduled processes are now stored more securely for all customers. There is no action required; however, self-hosted customers should check the "Salt For Greater Encryption of Database Names and Passwords" section of the associated documentation for a recommended option to enhance the security further.
  • Effective Permissions Report - For consistency, the permission types are now listed in the same order as on the Security pages. 
  • Classes - The Schedule Group field now displays descriptions instead of only codes. 
  • Classroom Attendance - The Mass Apply feature for Att Code and Quick Notes (same as teacher attendance) now allows filtering students by Grade, Program, Track, and additional student fields that are also sortable. See Classroom Attendance
  • Weekly Progress Emails - Weekly Progress emails can now be sent through Aeries Communications powered by ParentSquare.
  • District Settings - A selection list was added under District Settings for specifying which Record Type codes (CON.CD) represent the parent/guardian.
  • Aeries Communications - Grade Alert messages sent through ParentSquare now include the period. 
  • Aeries Mobile API - The process of creating an account in Aeries Mobile Portal was improved. 
  • OneRoster API - The Get Enrollments by School endpoint performance was improved.
  • Ed-Fi v3.x - The following entities were implemented:
    • Staff 
    • Grading Periods 
    • Staff School Associations
    • Staff Education Organization Assignment Associations 
  • Ed-Fi v2.x - The Staff Education Organization Assignment Associations entity was updated to return all the staff jobs and assignments and associate those records with a school. 

Issues Resolved

  • Copy Many Students - The page generated the "No students were copied" email if the "Only Copy these Student ID's" option wasn't used, fixed. 
  • Gradebook Assignments by Student Report - The email version did not show the Assignment Completed values, fixed. 
  • Staff
    • Field-level security for the First Name, Last Name, Middle Name, and Suffix fields was not available, fixed. 
    • The Years of Service field using the action button was not sensitive to field-level update permissions, fixed. 
    • Field permission for the Gender field was not backwards compatible with the old Sex field, fixed. 
  • Report Cards - Students with delete-tagged GRD records would sometimes have duplicated report card data, fixed.
  • District Attendance Letters - The spelling of semicolon was incorrect, fixed. Also Beta was removed from the description. 
  • Aeries Mobile API - The violation description was not shown on the Student Disciplines screen in the Aeries EM2 app, fixed. 
  • Aeries Web - Email confirmation links were not working when creating an account for a parent or student, fixed. 
  • Flex SMS Board - Several features were missing, fixed. The Flex SMS Board now matches the SMS Board. See Flex SMS Board
  • Mass Change Period Absences - This feature was converted to a Long Running Process to prevent timeouts. A progress bar was added. 
  • Mass Change All Day Attendance - This feature was converted to a Long Running Process to prevent timeouts. A progress bar was added. 
  • Mass Change ATT Codes - This feature was converted to a Long Running Process to prevent timeouts. 
  • Client - Progress Report - The YTD Total hours in the custom report for Riverside was not correct, fixed.

California Specific

  • Weekly Instructional Minutes
    • The page now allows all associated teachers who could normally submit attendance to certify a class.
    • The staff dropdown was updated to only include teachers. 
  • CALPADS Extracts

    • The SINF extract now gets the Parent/Guardian information from the CON table. See Managing Contacts - Identify Guardians for CALPADS SINF Extract

    • The Parent Ed Level (STU.PED) field is now visible/editable on the Demographics page even if it is empty.

    • The option to choose between residential and mailing address was removed. SINF and SIAD now only use the mailing address. 

    • Itinerant Teachers were not included in the CRSE extract when processing Secondary and Elementary w/Master schools, fixed. 
    • The Multi-Teacher Status could extract incorrectly in Flex schools, fixed.
    • The Multi-Teacher Status in the CRSE extract was not extracting correctly for schools utilizing Section Staff, fixed. 

    • For schools using section-staff, the Fall 2 CRSE extract was not limiting the sections to the Fall sections, fixed. 

  • CALPADS Program Reference by Student Report - There were several fixes to this report: 
    • Students with Disabilities were no longer being included on the report. Students with Disabilities from the CSE table will now print on the report, but noted that they are not included in the SPRG extract.
    • Some students were not showing on the report even when they had active programs, fixed.
    • Students with multiple FRE records were sometimes excluded from the report, fixed.

Texas Specific

  • Student Attendance Detail Report -This report now supports changes from the 2020-21 Student Attendance Accounting Handbook (SAAH) as follows:
    • The Student Detail and Program sections now include the student's Economically Disadvantaged Code.
    • The Grade, Track, and Campus totals now include Eligible Days Present for the following programs: 
      • Bilingual/ESL Dual Language One-Way Program
      • Bilingual/ESL Dual Language Two-Way Program
      • Bilingual/ESL Dual Language Two-Way Program (Non LEP)
      • Early Education Allotment Educationally Disadvantaged (K-3)
      • Early Education Allotment Bilingual/ESL (K-3)
      • Early Education Allotment Educationally Disadvantaged
      • Bilingual/ESL (K-3)
      • Residential Facility
  • Texas Assessment Precode Extracts - The Compare Run Data tab was added allowing a user to select a previously run precode extract and compare the values with current Aeries values. Differences are highlighted. See Texas Assessments - STAAR and TELPAS Roster Extracts (Pre-IDs) .
  • Import Test Results -STAAR EOC and STAAR Alternate 2 EOC can now be imported. When selecting either layout, the CTL and CSN tables will be updated (adding records, if needed) with the new parts for these tests.
  • School Options (district) - The Show Charter School Waitlist Collection option was added to the State Reporting section.
  • School Options (school) - The Enrollment Capacity and Utilize Waitlist fields were added. 
  • Push and Pull Setup Tables - The Attendance Reporting Period (ARP) table was added. 
  • Recompute Cumulative GPAs and Class Rank - The Include Current Grade Mark from GRD in District GPA Calculations option was added. 

  • Transcripts - The Include Current Grade Mark from GRD in District GPA Calculations option was added. 

  • Classroom Attendance - The Instructional Model for a student has been added to this page to match functionality available to teachers.
  • Texas State Reporting 
    • The SELA Student Parent Interchange file can now be extracted.
    • The SELA Student Program Interchange file can now be extracted. 
    • Options for the Charter School Waitlist collection have been added for future use in Aeries. 
    • The PEIMS 3 Summer Student Attendance file now includes all new 2020-2021 SpecialReportingPeriodAttendance elements. 
    • The PEIMS 3 Summer Student Attendance file now includes the new TX-RSTotalEligibleDaysPresent and TX-RATotalEligibleDaysPresent elements. 
    • The Class Rosters Winter submission StudentEnrollment file was not limiting enrollment by the Snapshot Date, fixed.
  • TREx Export - When a section was associated with a staff record without a valid staff ID, an error was displayed, fixed. 

Database Changes

  • Attendance Reporting Summary (ARS) - The following fields were added for use in Texas: Economically/Educationally Disadvantaged Code (EDC), Eligible Days Bilingual/ESL Dual Language One-Way Program (EDB1), Eligible Days Bilingual/ESL Dual Language Two-Way Program (EDB2), Eligible Days Bilingual/ESL Dual Language Two-Way Program Non LEP (EDB3), Eligible Days Early Education Allotment Educationally Disadvantaged K-3 (EDE1), Eligible Days Early Education Allotment Bilingual/ESL K-3 (EDE2), Eligible Days Early Education Allotment Educationally Disadvantaged and Bilingual/ESL K-3 (EDE3), and Eligible Days Residential Facility (EDRF). (4489)
  • Letter Log (LTL) and Letter Table Audit (LTA) - Creating the relationship between the tables caused "Column name 'PID' does not exist" errors when run against old databases without ID-based LTL tables. This relationship will now only be created if the Letter Log table is defined as ID-based. 
  • Schools (LOC) - The Enrollment Capacity (EC) and Utilize Waitlist (UW) fields were added for use in Texas. 
  • Student Group Definitions (SGD) - The Dynamic Group Type (DGT), Field Code (FC), and Field Values (VL) fields were added.
