Aeries Revision Notes 5/18/2018

  • Mass Update Graduation Status - This is a new page that allows to select the different graduation requirements that must be met for a student to graduate. The page allows to set up different graduation codes that will populate STU.HSG, STU.DG, and the ENR tables, once the "Update STU and ENR Tables" button is clicked. The information is stored in the RTG table and will be available until the STU and ENR tables are updated. This process can be run from the school or from the district. Mass Update Graduation Status
  • Cal Grant GPA Export - This page will allow the users to easily create extracts following a KEEP/SKIP query. This page is available in both school and district levels. At the district level users can pick the schools they want to include in the extract. There are two security levels: Admin and Read-only and can be set under the CALGRANT security area in user Security options. The page allows extracted students to be Tagged which makes it possible to exclude previously extracted student from the next extract, and it also stores the Cal Grant GPA in a new student GPA field (STU.CGG) when the Cal Grant report or the extract is run.  Cal Grant GPA Export
  • Analytics Dashboard - Dashboard level filters have been added to the dashboard. The filters button is located on the newly added dashboard header. When users select filters at the dashboard level, all selections will be pushed down to the dashboard-item filters. Also, user-applied filters are now displaying at the bottom of the graph. It will only display up to 2 lines of data on the graph by default, but users can click on the filters summary to expand it for a full list of filters. Filters are now searchable and saved to the UAO table. Also, if there are no user-applied dashboard level filters, the dashboard item will be limited to current logged-in school only.
  • Physical Fitness Extract - This is a new page in Aeries Web that was converted from the Aeries Client with several enhancements. The new page allows saving the settings, including which schools to include. The page doesn't require the Mass Add Fitness Records process that the Client uses; instead, any active student without a fitness record will automatically get added to the extract. Also added a Charter School# field to the Schools table (LOC.CH) for use with the extract. This new page is secured based on Administer to Physical Fitness Test Results. Physical Fitness Extract
  • Physical Fitness Test Error Report - This report is now available at the district level for use with the Physical Fitness Extract. Also changed the "Skip Reporting Home School" option to "Honor Reporting Home School", allowing the report to process student home school (STU.HS) when populated. When the report is run directly from the extract page, certain options will be hidden as they are hard-coded based on the extract options. Also, the report will now produce a blank page if there are no errors to report. Physical Fitness Test Error Report
  • Schools - This page now includes a Charter School# field next to the existing County, District, School codes, for use with the Physical Fitness Extract. Also, this page now allows Numeric keypad for entering codes.
  • Print Financial Transactions by Date - This is a new report designed for use with Aeries Financials. It prints a detailed list of transactions including various filters. Print Financial Transactions by Date
  • Print Financial Transaction History - This is a new report designed for use with Aeries Financials. It prints a detailed list of transactions for a student. Report optionally includes the payment schedule if one is set up. Print Financial Transaction History
  • Financial Transactions - This page now includes a Reports button to print the Financial Statement or Transaction History. Financial Transactions
  • Siblings - This page now includes additional information on each sibling: Teacher/Counselor, Room# (if Elementary), Track (if MultiTrack), Status tag, Age, and Residence City. The Student Picture and Permanent ID are now links to the Student Profile page. Also removed Stu# in favor of Permanent ID. Also added two print buttons for Print Siblings and Quick Print.
  • Students with Siblings - This report now includes Residence City. Also removed Stu# in favor of Permanent ID.
  • Student-Related Pages - Many student related pages will now show the current student's school when it is not the login school. This was done specifically for the Siblings page link to profile and honors security settings.
  • Update Code Table - A "Quick Print" button has been added to this page.
  • Aeries API - The V3 Staff API has been enhanced for much faster performance, especially for districts using Aeries Communications.
  • SMS Board - Adding a Teacher number to the SMS Builder or the Course Change form will change the Room and Max values based on the Teacher (TCH) values. Validations have been added to the following fields: Teacher, Track, Sex, Days. The Course Change window has been enhanced for better user experience. Also, the missing scheduling group fields have been added to this popup. There was an issue with adding sections that has Course ID with “-“ in it, fixed. SMS Board
  • Update Course Request Options - When adding a new Course, the option to sort by “4-Course ID Only” was disabled, fixed.
  • SMS by Course - This page has been removed. Users should use the SMS board Course Change feature.
  • Classes - Message has been added to this page: “This page will not be available for the next school year; please start using the new version of this page in the following link. Classes – New”
  • Summer School Course Requests - Assigning a pre-scheduled summer school section number will now give a warning if the class is full. The "Schedule Alternates" option is now hidden when viewed by Parents / Students. Also, adding summer school course requests will now validate for the course's grade range.
  • Mass Change Course Request - The link to Mass Add Student Related Data page has been removed.
  • Student Locator Cards - Wrong summer school course requests were displaying when same student numbers existed in different schools, fixed.
  • Schedule Master Schedule - Logic has been added to prevent users from copying summer school course requests to a new section with same Course ID. Also, the Copy process was not working when the new section has a different Course ID, fixed.
  • Class List by Section Report - Student ID field was being cut off when printing in summer schools, fixed.
  • Aeries Analytics - When a date range is used on an Attendance Percentage indicator, the system calculates the percentage based on the specified date range even though Attendance History is set to calculate through the current day and the date range on the indicator is for the entire year, fixed.
  • College Entrance Requirements - The TOTAL rows in the CER table were inaccurate, fixed.
  • Navigation - Scrollbars no longer auto scroll the navigation if the user has already scrolled.
  • System Security - Adjustments have been made to protect against unauthorized system usage of Aeries to ensure student data privacy.
  • Student Academic - Hovering over a row with courses would change the course background color, fixed.
  • Demographics - The page timeout popup wasn’t displaying in front, fixed.
  • Extracurricular Activities - The tab content no longer has its own scrollbar.
  • Custom Tables - A few minor enhancements and fixes have been made to the Custom Tables feature. 1. When logging changes to custom tables, the SC, SN, and ID fields in the LOG table will now be populated whenever possible. 2. Very wide or tall table configurations caused the Edit window to extend outside the visible area of the page, fixed. 3. Changing students while viewing a custom table page would sometimes cause the wrong navigation menu item to become highlighted, fixed. 4. URLs entered in a text field of a custom table are now clickable when in Read mode. The URL must begin with http:// or https:// for the automatic hyperlinking to work properly.
  • OneRoster v1.1 API - Error Payloads have been added to all PUT endpoints to provide more helpful error handling. Also, the 'schoolYear' of the Academic Session was in the wrong format, fixed.
  • OneRoster v1.1 Configuration (BETA) - An option has been added to this page to allow districts to use the academic year of the current database instead of each school's calendar for the Academic Session 'schoolYear' element. OneRoster v1.1 Configuration (BETA)
  • Aeries Mobile Portal API - Modifications have been made to support the upcoming version of the Android and iOS app features.
  • Students with Repeated Courses Report - When the option to “Skip records taken prior to 9th grade” was selected, the option “Honor off grade courses (OGC)?” was not being honored, fixed. Also, minor visual adjustments have been made to the report options.
  • Database Definitions - Additional safeguards against malicious input have been added to this page and report.
  • Daily Enrollment Summary By School and Monthly Attendance Summary by School/Wide - These reports would not run for a school with only Transitional Kindergarten and Kindergarten grade levels, fixed.
  • System Usage Metrics - Additional enhancements have been made to the anonymous usage data being collected by Aeries Software to include tracking mobile app usage. This information will be used to help improve the system and help to identify trends with system usage and errors.
