Aeries Revision Notes 2/28/2018

  • System-wide - There is a new icon for Table/Field Info next to the Help icon in the corner of each page. The icon will link to an appropriate Knowledge Base article showing the tables and fields that are used on that page (where available). From this version forward, Aeries staff will be able to create and update these Table/Field Info links in real time without a district needing to apply an Aeries update to get the latest links. The Table/Field Info links are currently active in about 60 pages. Also, the scheduled process that updated Years in Program (LAC.YP) has been enhanced to log more efficiently. Also, all LOG record comments now use "Aeries Web" instead of "Aeries.NET".
  • Database Definition (Beta) - The Database Definition page is now available that allows the display of table and field information.
  • CALPADS Extracts - The SPRG ODS Reconciliation is now available under the ODS Reconciliation tab. This was the last function to be converted from the Client. Also, the Direct Certification import had the potential to create a duplicate record if the student had a Free, and a Reduced record, both with the same start date but the Reduced record was closed while the Free record was open, fixed. Check marks have been added to the Identifier Request (new and replace) buttons to indicate that the process has been run/executed.   • Navigation and Reports - The Aeries Navigation for both Pages and Reports is now customizable. This feature requires making changes to the NAV table in the SQL database directly. Features include changing the name of existing links, adding new links, and removing links. New categories can also be created. Attributes can be set to allow displaying of navigation items to only certain users based on school, security area, and other criteria. Custom URLs can include dynamic placeholders to include values for the current student from any student-related table or the current user from a session variable. Any changes to the navigation also affect the View All Reports or View All Forms pages.   • State Seal of Biliteracy - This is a new page that allows users to process, print, and flag students who qualify for the State Seal of Biliteracy award. Permission to ACT is needed to use this page. State Seal of Biliteracy
  • Courses - Composite Courses is a new tab on the Courses page. This will allow multiple “child” courses to be linked to a “parent” course. This will help scheduling courses that should be scheduled together but separately graded. A new table has been added for Composite Courses: CMP.  Information is available at the following link Courses
  • Print Monthly Attendance Summary Analysis Report - This is a new report in Aeries Web, converted from the Aeries Client. This report is available at the district level.
  • Print Students Who Have Changed Attendance Report - This is a new report in Aeries Web, converted from the Aeries Client. This report is showing students that have changed Grade, Program or Teacher.
  • Print Students Continuously Enrolled Report - This is a new report in Aeries Web, converted from the Aeries Client. This report displays students that are or are not enrolled continuously in school or district. It’s available at both school and district levels.
  • 504 Plans - The following new fields have been added to this page: Consent to Evaluate, Consent Received Date, Authorization for Health Info, Authorization Received Date, Parental Safeguards, Parental Safeguards Delivered Date, Team Decision, and Meeting Date. The Meeting Date will default to today’s date when adding a new record. Users may now populate the meeting date, and leave the Effective Date blank, and the 504 record will not be extracted to CALPADS. The Team Decision field is a new code table dropdown field, and sample codes can be pre-populated from Default Code Management. Also, the plans will be sorted by either effective date or meeting date whichever exist. All staff members are now included in the participants dropdown. The student can now be added as a stakeholder. The 504 Plan report has been adjusted to accommodate the new fields, and a new simplified Accommodations Only report can now be printed from this page. Also, long Referrer names were causing the report to cut some dates off, fixed. 504 Plan documentation has been updated.
  • Course Sequences - Courses from different subject areas can now be added within a single sequence. Also, The Vocational Course Level field is now part of the courses dropdown for reference.
  • Update Academic Plan Course Options - This page now requires the user to click the Populate button in order to display courses. Also, term type and course id filters have been added to this page. Also, the Update Totals button was not working, fixed.
  • Student Academic Plan - Course numbers will now display next to the course name on the student academic plan. A Confirmation message has been added to the academic plan submission process for students. The old academic plan page was removed from the parent navigation, and Academic Plan Entry page has been renamed to Academic Plan. Parents and students can now re-submit changes to their counselor. New portal options have been added to allow students/parents to add course sequences or add course request packets. The page width changed when changing the course dropdown, fixed. Also, when a course had no term specified, it was unable to be added to the academic plan, fixed. This will now be assumed to be a yearlong course. Also, when adding course requests, the popup was not closing, fixed.
  • Graduation Status - The Graduation Status (HSG) table was not properly clearing out old data when the student’s grad track was updated, fixed.
  • Transcripts - A Print button has been added to the bottom of the page.
  • Medications - The 'Active Medications' tab is now the default tab instead of 'Inactive Medications'.
  • Gradebook - Teachers who were members of Security Groups that also had non-teacher members would become read-only in the gradebook whenever one of the non-teachers went into a school marked for read-only access. The read-only access in that school cascaded over to any teachers in any of the groups they were members of, fixed.
  • Custom Report - CTS Report Item type was not honoring test parts for AP, GSE, IB tests, fixed. Also, colors were not displaying for CTS items even when the Rubric levels were defined, fixed. Also, SBAC test items were not displaying colors when Test ID, Test Part, Score Field and Testing Admin had a matching record in the TNP table, fixed.
  • Query - When a user initiates a keep from the query results window, that keep will be nested with current keeps, instead of clearing existing keep queries.
  • Standards Based History - The Standards Based Grade comment [CO2] is now available and editable in this page.
  • Student Grade / Student Grade Report - The report and page are now display the same GPA and Class Rank information in the Parent Portal.
  • Medical Log - This page has been enhanced with usability and performance improvements, particularly for students with numerous medical log entries.
  • System-wide - The scheduled process that updated Years in Program (LAC.YP) has been enhanced to log more efficiently. Also, all LOG record comments now use "Aeries Web" instead of "Aeries.NET". Teacher Attendance page will now log whenever it becomes read-only.
  • Supplemental Attendance by Teacher - This page would allow teachers to modify Start Time, End Time and Total Minutes on newly added records despite the Program's "Attendance Collection Method", fixed. On the Weekly View, the button to move forward a week wasn't working, fixed. Also, this page had the potential to not display the Add button for a student who entered within a week of the selected date when using the "Daily View/Edit" option, fixed.
  • Student Demographics - When adding a student from Aeries Online Enrollment via "Import from AIR" and matching to an existing student, the process was inadvertently delete-tagging existing contact records for the student regardless of user input, fixed.
  • Supplemental Attendance Audit Report - This report will now allow for Student ID numbers up to 10 digits and will now limit the Supplemental Attendance records being displayed based on the student's school code.
  • Define Withdrawal Form Headings - Visual improvements have been made to this page. Also, this page was erroneously requiring permission to Course Requests (SSS) when it should require permission to School Settings (LOC), fixed. Also, performance of this page has been improved by eliminating excessive calls to the SQL database.
  • Parent Emulation - Security would be applied from the default database, even if the emulating admin user was logged into a different database group, fixed.
  • Records Transfer - The Request Records page will now show "Not Configured" for schools which haven't set up Records Transfer. Also, wording has been improved on a few error messages.
  • Scheduling Master - This page was giving an error when viewed in a Summer School since the 1/26 update, fixed.
  • Scheduling Master / Master Schedule - Lists on the left side of the page now maintain scroll position after changing the selected option. New visual styles have been applied to the pages.
  • Student Profile - The tour was refreshing on its own, fixed.
  • Aeries Communication - Changes have been made to ensure that Aeries Communications can access the microphone in the latest version of the Chrome browser.
