CALPADS changes for the 2016-2017 End of Year (EOY) Reporting

Aeries is preparing for the CALPADS changes for the 2016-2017 End of Year (EOY) data submission.  The window for the EOY submission opens May 15, 2017.  CALPADS has not yet posted the updated files.  Below are 2 major changes for this year’s EOY submission:

 

· CALPADS  Attendance STAS Extract – a new CALPADS extract will be required to be submitted as part of the 2016-2017 EOY data submission.  The extract will pull attendance data that will enable the calculation of student-level chronic absenteeism rates.  The following link contains the file layout with more information on the new extract.  http://www.cde.ca.gov/ds/sp/cl/cfs-stas-filelayout20160802.asp

 

The STAS extract will send Attendance Summary information from the Attendance History table.  We will not be sending detailed attendance data to CALPADS.  The use of specific codes are not required.  We recommend districts review their absence codes for some of the aggregates being asked for by CALPADS:

 

o Partial Day Truancies (both "> 30 minutes tardy, unexcused" and "> 30 minutes early withdrawal, unexcused")

o Suspension (Out of School) – both for periods and daily.  ABS record should be flagged as "Suspension" and also "Counts for ADA - No".

o In-School Suspension – ABS record should be flagged as "Suspension" and also "Counts for ADA - Yes".

o Independent Study – Incomplete days – a new flag has been added to the ABS table for Independent Study Complete/Incomplete

· Golden State Seal Merit Diploma and State Seal of Biliteracy  - 2 new Completion indicators will be added to the SENR – Enrollment file.  We have updated the Client reports to mass create ACT records from the 2 forms.

We will be watching the CALPADS website for the updated files and will adjust the Aeries extracts with the changes.
