The Civil Rights Data Collection survey (in the CRDC website) contains LEA-level and school-level items. The Civil Rights processing in Aeries calculates most of the school level tables that have to do with student counts and follows the guidelines set forth in the 2017-18 Civil Rights Data Collection School Form. The 2017-18 CRDC School Form can be found in the Preparation Resources tab of the Civil Rights Data Collection Resource Center site.


In order for students to be included in the Civil Rights counts they must meet these requirements:

  • The student must have enrollment in the 2017-18 school year.
  • For the enrollment, program counts, most of the class counts, and most of the course enrollment counts the student must be enrolled in the school/program/class on the Fall Reporting Date. The Fall Reporting Date is defined by CRDC to be October 1 or the closest school day to October 1. Aeries will use the value in the Fall Reporting Date field defined on the General Settings tab.
  • If the school uses block scheduling (MST.BL > 1) that allows a full-year course to be taken in one semester, the class counts and course enrollment counts will include the students enrolled in the class on the Fall Reporting Date (October 1 or closest school day to October 1) for the first term, and the Spring Reporting Date (March 1 or the closest school day to March 1) for the second term. Aeries will use the values in the Fall Reporting Date and Spring Reporting Date fields defined on the General Settings tab.
  • The Algebra class and course enrollment counts are based on the end of year/end of term counts. Aeries will use the Spring End date to calculate the number of students in the Algebra class when the MST.BL = 1, and it will use the values in the Fall End and Spring End date fields on the General Settings tab when the MST.BL > 1.
  • The student (STU) records with a Status Tag (STU.TG)  that is one of the selected codes in the No Show Codes area on the General Settings tab will be skipped. All other student records will be processed.
  • Only student (STU) records with school codes (STU.SC) that match those selected on the Civil Rights Schools tab will be processed.

  • For the enrollment, program and course enrollment counts students are counted in their primary enrollment school. The enrollment school (ENR.SC), enrollment program (ENR.PR), and Reporting Home School (ENR.HS) are also evaluated.
  • For the SAT I/ACT, retention, discipline, offenses, harassment and restraint/seclusion counts the student in the school at the time of the test score/retention/discipline/offense/harassment or restraint/seclusion.
  • The Legal Student Information (LSI) table is used to determine the student’s reporting gender. If there is no LSI record for the student, then the STU.SX field will be used.



NOTE: The Aeries CRDC process only analyzes and reports a selection of tables in the School Level survey of the Civil Rights Data Collection, we do not support the LEA Level survey data.



When the Process Civil Rights Data button on the Results tab is selected the data will be analyzed and records will be added to the Civil Rights Data (CVR) and Civil Rights Data Totals (CVT) tables. CVR records will include the student detail information such as Student ID, CRDC table id, the school the student will be reported in, and flags for ethnicity, race, IDEA, 504, and Limited English. The CVT table includes records of school-wide table counts that are not limited by student demographic or program information, such as number of classes in a subject area, number of certain offenses by school, etc.
