Posting Attendance

Positive Attendance is used for ALL summer schools. This means that a code will be posted for every student for every hour of the day. There are 3 options for posting attendance: Creating and using the Attendance Scanner Sheets, Manually entering attendance through Period Attendance/Block form or through ABI-Aeries Browser Interface.


If using ABI to enter summer school attendance, verify that the ABI Options are correct and match the Summer School Options.


With positive attendance it is suggested that Scanner Sheets are utilized. This Form is the F-14927-ES-L supplied by Scantron.


Create Scanner Sheets

The Scanner Sheets for summer school have the capability to bubble a student’s attendance for all hours of the class session.  When bubbling students a indicates the student was Present,  indicates the student was Tardy and No Bubble indicates the student was Absent.


From the Monthly Attendance Cycle click the mouse on Create New Period Attendance Sheet File. The following form will display.



Click the mouse on the selected circle for the Week – Date to be printed. Select the Students per Sheet at 23-48 Channel and click the mouse on the Create button.


The following message box will display. If the semester is different than the one displayed type the code in the box.



To create the hourly scan sheets the Students per Sheet MUST be set at 23-48 Channel.



Print Scan Sheets

From the Monthly Attendance Cycle click the mouse on Print Period Attendance Scanner Sheets. The following selection box will display.



Click the mouse on the attendance sheet options and enter the Starting Week Number and Starting Sheet Number. Click the mouse on the OK button and the scanner sheets will be generated.


The following is an example of the scanner sheet for hourly attendance. This form will print the number of hours this class is scheduled and is specially designed to bubble the number of hours a student has attended. This Form is the F-14927-ES-L supplied by Scantron.



Read Scan Sheets

From the Monthly Attendance Cycle click the mouse on Read Period Attendance Scanner Sheets. A message will display to enter the latest date to be scanned that has been bubbled on the scan sheet. Click the mouse on the OK button.


More than one day of attendance can be scanned. A message will display to enter the total number of days to be scanned and click the mouse on the OK button.


The following form will display with all students enrolled for the teacher displayed. Place one scan sheet into the scanner and click the mouse on the Scan One button.


All bubbles marked on the scan sheet should display on the form. Verify that the absence codes scanned properly. The following is an example of the form that will display.



Place the remaining scan sheets into the scanner and click the mouse on the Scan Many button. The scan forms should feed through the scanner continuously. When complete click the mouse on the Exit button.


If there are problems with scanning verify the scanner settings are correct and test the scanner using the Test Scanner function from the Miscellaneous form.



Manual Attendance Entry

From View All Forms click the mouse on Period Attendance/Block. A Date Input Form will display. Type the Monday date for the week to enter attendance. Click the mouse on the OK button. The date entered will be used to flag absences.


To Mark a Student Present

Click the mouse on the Change button. The cursor will display on the first student in the first hour. Press Tab to the student selected. Enter a for the hour that the student was present and press Tab and enter any additional hours for the student selected.



Using this program will only update the hour flagged with a P and not ALL hours for the class selected.



To Change an Absence Code

Click the mouse on the Change button. The cursor will display on the first student. Tab to the student and hour selected. The absence code will be hi-lited. Change the code and press Enter.


The following message will display. Click the mouse on the Yes button. Press Enter.



Prior to pressing ENTER the change can be cancelled by pressing the ESC key. The original data will be redisplayed.



Print Hourly Attendance Report

From Monthly Attendance Cycle click the mouse on the Print Hourly Attendance Report/Summer School button. Enter the Attendance Month selected and enter the number of minutes per class or enter zero. If zero is entered this report will use the Bell Schedule to determine the times for the different length classes. Click the mouse on the OK button.



The following is an example of the Hourly Attendance Report for Summer School that will be generated.  This report is broken out by the different Hourly Programs that have been setup.  If a student is enrolled in two different hourly programs they will be printed under each hourly program. A “+” indicates that this student is attending another hourly program. The attendance will be printed for this student under the additional hourly program that they are attending.



If a student has a “+” sign they are enrolled in another Hourly Program.
