Overview

Navigate to Scheduling Process > Functions > Scheduling Optimizer.


The Scheduling Optimizer is typically run as the final scheduling process before course requests are modified for individual students who still have rejected course requests. The Scheduling Optimizer is designed to take a student out of a full section and schedule them into a different section with seats available, creating an open seat in the full section. Then another student can be scheduled into the available seat. 


Note: If the regular Schedule All Students process is run again, after the Optimizer has been run, the results of the Optimizer are undone, and the Optimizer will need to be run again.

Process  

Press Optimize Schedules to begin the process.

When the Scheduling Optimizer is run, it analyzes each student who has one or more rejected course requests. The display includes the current student and course being processed, as well as the total number of students scheduled and the total number of students found impossible to schedule.


Scheduling Optimizer running


First, the Optimizer tries to schedule the student to see if something has changed so that all course requests for this student can be scheduled. Next, the Optimizer checks to see if all sections of the course the student was rejected from are full. If all sections of the course are full, then that course cannot be scheduled. At least one section of the rejected course must have an available seat for the Optimizer to continue with this student.


If at least one section of the rejected course has an available seat, but the student can’t be scheduled into that section, then the Optimizer processes each of the full sections that the student could be scheduled into. It checks each student who has been scheduled into the full section and tries to re-schedule that student into a different section with an available seat. If a student can be re-scheduled into a different section, then the original student will be scheduled into the newly available seat in the section that was previously full.


If no student can be scheduled out of the full sections, then the original student is added to the total students who still cannot be scheduled and the Optimizer moves on to the next student. The statistics are updated as the Optimizer works.


Because of the steps outlined above, the Scheduling Optimizer takes longer per student than regular scheduling. The page must remain open for the process to continue. The Optimizer can be paused by pressing the Pause button. When the Pause button is pressed, the current student being analyzed is completed and then the process will pause. Push the Optimize Schedules button to resume processing students. 


No new conflicts will be created by this process. Once complete, the process is intended to result in fewer rejected course requests and an increased number of completely scheduled students.
