Effective for the 2019/2020 school year, districts must acquire Statewide Student Identifiers (SSIDs) and submit data for all Pre-K through Grade 12 students for whom the parent has consented to an evaluation, regardless if the child if found to be eligible for services.  This includes:

  • Infants and Toddlers referred to COEs and districts.
  • Preschool-age students referred to COEs or districts.
  • School-age students referred that are attending K-12 public schools.
  • School-age students referred that are attending private schools and are receiving services from a COE or district.

Here are the guidelines from CDE:

  • SSIDs must be obtained for Pre-Kindergarten students referred for services who are pending evaluations, including students attending Private Schools.
  • For students attending Private Schools, create a school in Aeries and use a School Code (LOC.SC) of 0000002.
  • If districts want to create a "District" School in Aeries for Infants and Toddlers or if it will be used as a "pending" school, use a School Code (LOC.SC) of the county code number + the district code number (see snapshot below).
  • Enrollment Start Date should be the date parental consent for evaluation was signed for the student.
  • Students are tagged with a Student Program (STU.SP) which is translated in CALPADS Code Translations as Code - 50 Non-ADA Enrollment.
  • Once an SSID is obtained, the student remains enrolled until the assessment is complete.
  • If the student qualifies for Special Education services, the student remains enrolled.
    • If the student was attending a Private Preschool and qualifies for Special Education and will remain at the Private School, the student remains enrolled in the Private School in Aeries with an enrollment code of 50 Non-ADA Enrollment.
    • If the student was attending a Private Preschool and qualifies for Special Education and will attend the State Preschool where ADA is collected, the student is moved to the State Preschool in Aeries and the Student Program (STU.SP) is changed to a Code - 10 Primary Enrollment upon enrollment.
    • If the student is an Infant or Toddler and qualifies for Special Education, the student remains enrolled at the "District" School with an enrollment code of 50 Non-ADA Enrollment until they transition to a Private School or a State Preschool.
    • If using a "District" School in Aeries for pending evaluations and the student qualifies for Special Education, the student should be enrolled at the Private School with an enrollment code of 50 Non-ADA Enrollment or State Preschool with an enrollment code of 10 Primary Enrollment.  If the student will remain at the "District" School, the student remains with an enrollment code of 50 Non-ADA Enrollment.
    • If the student does not qualify for Special Education services, the student is No Showed using a "No Show" (N470) code.



For a District School use a School Code (LOC.SC) of the county code number + the district code number.
