NOTE: The 2017-18 school year is the last year for the CELDT Initial Assessment. Beginning in the 2018-19 school year the ELPAC will be used for the Initial Assessment as well as the Summative Assessment. At this time we are not aware of a need for a Pre-ID file for the ELPAC. We will continue to monitor the ELPAC website and if they do provide a file layout for a Pre-ID file we will add that functionality in the Web version of Aeries.

The CELDT Pre-Identification form is located thru the Testing and Assessment form in the District and school Aeries program.  NOTE:  Test Pre-IDs and Test Loads are not available in Aeries Web Version at this time.

This form loads the students into the CELDT Pre-ID (PCT) table by clicking the mouse on the Load Students button. After the data is verified a file is created of state required information by clicking the mouse on the Create File button.  This file is then sent to the testing company, which in turn will send pre-slugged scan sheets to the school for all students on the diskette.

Remember, as the state requirements change, Aeries will change these forms to the new state requirements as quickly as programmatically possible.

The Cross-Reference or XRF table is designed to allow specific data to be pulled from student related tables into the CELDT Pre-ID table. The advantage of the XRF table is that it allows you to convert your school standard codes into required values in the CELDT Pre-ID table.

NOTE:  The translations for CSE, LAC, and PGM tables are no longer needed and should be removed to avoid warning messages. 

Importing CELDT / ELPAC Test Scores

NOTE: The 2017-18 school year is the last year for the CELDT Initial Assessment and the first year of the ELPAC Summative Assessment. The CELDT scores will continue to be imported through the Aeries Client Import Fixed Length Files form. Per contact with ELPAC, the ELPAC Student Results file layout is forthcoming. Once ELPAC releases the file layout we will update the Aeries Web Import Test Results page to include the ELPAC Student Results file layout.

The Import Fixed Length Files form is used to import the CELDT scores and is available from the Testing and Assessment form.

This form will allow you to select a record layout for a particular test and year.

If the CELDT record layout does not exist for the year being imported, select the Import New Record Layout.  Click the mouse on the Name of Layout drop down.  Select the layout necessary for the data on hand.  Click the mouse on Import and Exit.

The correct Record Layout will now be available.  Click the mouse on the drop down to Select A Record Layout to Import.   Enter the Full Path and File Name: or click the mouse on the browser to locate the file.

To import the file click the mouse on the Load button.  After the file is loaded it will need to be matched with the students in this database.  Click the mouse on the Match button.

The Matching Records Option will display to modify the order of fields used to match the CELDT data to the student data.  Select the priority of all fields to be used to match. It is highly suggested that State ID be used as the first field used to match. It is also suggested that the Verify Birthdate option is selected to help eliminate incorrect matches. After the order is selected click the mouse on the OK button.  A message will display indicating the number of records that matched and did not match.

After all student records have been matched the Update button will be used to load the CELDT test records into the TST table.  When the Update is complete the records will be transferred to the TST table and will now display on the Test History form or CELDT Test tab on the Language Assessment form.
